We are seeking a detail-oriented and organized Bookkeeper to join our dynamic finance team and contribute to the smooth operation of our educational mission. This full-time, in-person position, based in Miami, plays a critical role in upholding the financial integrity of our non-profit institution by maintaining precise records, ensuring regulatory compliance, and supporting strategic financial decision-making. Reporting directly to the CFO/COO, the Bookkeeper will handle day-to-day accounting tasks while collaborating with various departments to track budgets and facilitate audits.   • Maintain accurate and up-to-date financial records, including tracking all transactions, invoices, and expenses to ensure transparency and accountability across the organization.

  • Manage accounts payable and accounts receivable processes, from invoice verification and payment processing to collections and vendor communications, ensuring timely and efficient cash flow.

  • Perform regular bank reconciliations and account reconciliations to identify and resolve discrepancies, safeguarding the accuracy of financial data.

  • Record journal entries and maintain the general ledger, categorizing transactions appropriately and updating ledgers in real-time to reflect the organization's financial position.

  • Prepare comprehensive financial reports for management review, including balance sheets, income statements, cash flow analyses, and customized dashboards to support informed decision-making.

  • Track department budgets by monitoring expenditures against allocations, providing variance reports, and advising on resource optimization to align with organizational goals.

  • Process purchase orders, reviewing requests for compliance, authorizing approvals, and ensuring seamless integration with inventory and expense tracking systems.

  • Collaborate with external auditors during annual audits, preparing documentation, responding to inquiries, and implementing recommended improvements to enhance financial controls.

  • Stay updated on evolving financial regulations, non-profit accounting standards, and best practices, recommending process enhancements to maintain compliance and operational efficiency.

  • Assist in ad-hoc financial projects, such as forecasting, grant tracking, and cost analysis, to support the organization's strategic initiatives and growth.


  • Bachelor's degree in accounting, finance, or a related field; advanced certifications (e.g., CPA or similar) are a plus.

  • At least 5 years of hands-on experience in bookkeeping or accounting roles, with a preference for experience in private education or non-profit sectors where familiarity with donor funds, grants, and tuition-based revenue is beneficial.

  • Proficiency in accounting software such as QuickBooks Online or similar platforms, with the ability to customize reports, automate workflows, and integrate with other financial tools.

  • Strong skills in Google Sheets and/or Microsoft Excel, including advanced functions like pivot tables, formulas, and data visualization for efficient financial analysis.

  • In-depth understanding of non-profit accounting principles, including fund accounting, restricted vs. unrestricted funds, and compliance with IRS regulations for tax-exempt organizations.

  • Thorough knowledge of Generally Accepted Accounting Principles (GAAP), along with key financial concepts such as accrual vs. cash basis accounting and internal controls.

  • Proven experience in balance sheet reconciliation, general ledger management, account analysis, and budgeting, with a track record of identifying efficiencies and reducing errors.

  • Ability to perform detailed account reconciliations, maintain precise records of debits and credits, and ensure all entries are supported by appropriate documentation.

  • Excellent technical accounting skills, including expertise in financial report writing, data interpretation, and presenting insights to non-financial stakeholders.

  • Exceptional attention to detail, with a commitment to accuracy in high-volume transaction environments.

  • Strong oral and written communication skills, enabling clear articulation of financial information in meetings, reports, and correspondence.

  • Superior organizational skills and the ability to prioritize workloads effectively, managing multiple tasks and deadlines in a fast-paced setting.

  • Capability to work independently with minimal supervision while also thriving as a collaborative team member, contributing to cross-departmental initiatives.

The salary for this position ranges from $60,000 to $80,000 annually , commensurate with experience, qualifications, and demonstrated expertise.
