About the Opportunity
A growing, family-oriented service company in the Miami area is seeking a reliable Administrative Assistant to support daily office operations, billing, and customer communication.
This role is ideal for someone who enjoys a fast-paced environment , works well with both customers and field teams, and has experience handling invoices, billing, and scheduling .
What You’ll Do
Prepare and process invoices, billing, and payments
Communicate with customers via phone and email (professional tone required)
Draft clear, well-written emails regarding services, billing, and updates
Coordinate with technicians on scheduling, job updates, and service completion
Assist with tracking jobs, payments, and documentation
Maintain organized records and support day-to-day office operations
What We’re Looking For
1–3+ years of administrative, billing, or office support experience
Experience with billing systems (Sage timberline, Sage 300, or similar)
Strong written communication skills (email-heavy role)
Comfortable handling high-volume calls and multitasking
Experience in HVAC, construction, plumbing, or service-based industry is a plus
Bilingual (English/Spanish) preferred
