Executive Assistant Landscaping Company (QuickBooks Experienced)

A growing landscaping company is seeking a dependable and detail-oriented Executive Assistant to support daily operations and help streamline administrative financial and customer-facing tasks. This role is ideal for someone who thrives in a fast-paced environment enjoys organization and has strong experience with QuickBooks.

Key Responsibilities

• Manage daily administrative tasks including scheduling emails and phone support

• Maintain accurate records of invoices estimates payments and vendor bills in QuickBooks

• Assist with payroll processing and financial reporting

• Support project tracking job costing and internal documentation

• Prepare proposals contracts and customer communications as needed

• Coordinate appointments site visits and crew schedules

• Maintain organized digital and physical filing systems

• Provide general support to ownership and management to improve workflow and efficiency

Qualifications

• Proven experience as an Executive Assistant Office Manager or similar administrative role

• Proficiency in QuickBooks (Online or Desktop)

• Strong organizational and time-management skills

• Excellent written and verbal communication abilities

• Comfort working in a service-based or trades environment (landscaping construction property services etc. preferred but not required)

• Ability to manage multiple priorities and maintain accuracy

• Strong computer skills including Microsoft Office or Google Workspace
