Operations Coordinator
We are seeking a highly organized, detail-driven Operations Coordinator to support the COO and ensure operational follow-through across the organization. This role is responsible for tracking action items, monitoring deadlines, coordinating across departments, and ensuring that commitments made in meetings translate into completed work.
The ideal candidate is proactive, persistent, professional, and comfortable holding others accountable—without being confrontational. This role is critical to keeping priorities aligned, projects moving, and leadership informed.
Key Responsibilities
Execution & Accountability
Attend leadership, operations, and project meetings to capture action items, owners, and deadlines
Maintain a centralized action-item and deliverables tracker
Follow up with assigned individuals to ensure timely completion of tasks
Escalate delays, roadblocks, or risks to leadership with clear context and recommended next steps
Executive & Operational Support
Support leadership by managing follow-ups, reminders, and task coordination
Monitor email communications and internal systems to ensure critical items are addressed
Prepare concise status updates and progress reports for leadership
Assist with prioritization of tasks based on urgency and business impact
Cross-Functional Coordination
Act as a liaison between departments to ensure alignment and clarity
Coordinate timelines, dependencies, and handoffs between teams
Identify gaps in communication or process and recommend improvements
Process & Documentation
Help document procedures, workflows, and accountability structures
Ensure meeting notes, decisions, and action items are properly recorded and distributed
Support continuous improvement initiatives across operations
Qualifications
3+ years of experience in operations coordination, project coordination, executive support, or a similar role
Exceptional organizational and follow-up skills
Strong written and verbal communication abilities
High attention to detail with the ability to manage multiple priorities simultaneously
Comfortable communicating with executives, managers, and frontline staff
Proficient in Microsoft Office, Google Workspace, and/or project management tools
Ability to handle sensitive information with discretion and professionalism
