OverviewGallagher Re is recruiting a highly organised and proactive Executive Assistant.
We are looking for a professional that is highly engaged and motivated to join us in a start-up Facultative division within Gallagher Re. You will be part of a fast-paced team and be responsible for administration, organisation, problem-solving, and providing assistance as needed. The role entails regular interaction and engagement with senior stakeholders across our global business. The ideal candidate will be someone who is detail-oriented, organised and proactive in providing day-to-day support. This role is based in Miami and will need to be in the office for a minimum of 3 days a week, with some flexibility.
The successful candidate will ideally have experience as an EA supporting a Senior Executive.
How you'll make an impact- Executive Support : Manage complex calendar, travel logistics, and high-level meetings across global hubs (e.g., London, Singapore, New York, Miami).
- Board & Leadership Coordination : Prepare materials, agendas, and minutes for executive committee and board meetings.
- Organize team and client events globally.
- Stakeholder Liaison : Act as a gatekeeper and point of contact for internal teams, clients, reinsurers, etc.
- Project Management : Track strategic initiatives, follow up on deliverables, and ensure alignment with CEO priorities.
- Communication Management : Draft and review correspondence, presentations, and reports with a high degree of polish and accuracy.
- Administrative assistance : organizing meeting rooms, catering and completing expense claims as required; coordinating with our wider network of EAs as required
- Experience: Significant experience supporting C-suite executives, preferably in reinsurance, insurance, or financial services.
- Industry Knowledge (desirable, not essential): Familiarity with facultative reinsurance terminology, market cycles.
- Tech: Proficient in Microsoft 365, CRM systems, and virtual collaboration tools.
- Multilingual: Fluency in English and Spanish is required.
- Soft Skills: composure under pressure, highly organized, emotionally intelligent, and culturally aware.

The actual compensation will be influenced by a wide range of factors including, but not limited to previous experience, education, pay market/geography, complexity or scope, specialized skill set, lines of business/practice area, supply/demand, and scheduled hours.
