Homeowner Administrative Assistant
Position Summary:
We are seeking a professional, calm, and highly organized Administrative Assistant to manage a busy, fast-paced environment. This position serves as the point of contact for clients, guests, and vendors who are applying for a rental lease or sale of a condo unit, — many of whom may be under stress or experiencing frustration. The ideal candidate will demonstrate patience, tact, and excellent conflict-resolution skills while juggling multiple administrative tasks and maintaining a polished, welcoming atmosphere.
Key Responsibilities:
· Updates to community website and sending out community-wide email blast.
· Reviewing for accuracy the ARC (Architectural Review Applications).
· Reviewing for accuracy the Rental Leases and Condo. Sales Applications.
· Setting up Zoom meetings for all Committees.
· Assist visitors, residents, and staff in a courteous, helpful manner.
· Assist with handling resident inquiries and answering phones calmly and effectively.
· Always maintain confidentiality with sensitive information.
· Remain composed and effective under pressure, especially when dealing with difficult or irate individuals.
Requirements:
- Proven experience in an administrative support role (2+ years preferred).
- Excellent interpersonal and customer service skills, particularly in handling challenging personalities.
- Strong verbal and written communication abilities.
- Professional appearance and demeanor.
- Ability to multitask and prioritize under pressure without losing accuracy or professionalism.
- Bilingual in French is a plus
- Proficiency in Microsoft Office (Outlook, Word, Excel) and office equipment (printers, phone systems, etc.).
- Conflict-resolution and de-escalation skills are highly valued.
- High school diploma or equivalent required; additional certification in office administration is a plus.
Work Environment:
- Fast-paced office setting with frequent interruptions.
- Regular interaction with the public, including individuals who may be upset or demanding.
- Must be able to sit, stand, and walk for extended periods.
