Operations Coordinator (Coconut Creek)

A growing, well-established company in the hospitality equipment space is adding an Operations Coordinator to support their Director of Operations. This is a newly created, high-impact role designed to bring ownership and structure to the end-to-end order lifecycle .

What You’ll Do

• Own the full order lifecycle: order intake → payment tracking → shipping → delivery
• Ensure orders are billed, paid, and shipped on time
• Act as the central point of coordination across sales, accounting, and warehouse teams
• Monitor invoicing activity (no collections—just oversight and follow-up)
• Communicate order status updates to customers
• Coordinate shipping logistics, estimates, and timelines
• Review vendor/shipping invoices against approved costs before AP processing
• Maintain accurate documentation and approvals in CRM (HubSpot or similar)
• Proactively identify gaps and ensure nothing falls through the cracks

What They’re Looking For

• 3–5 years in operations, coordination, or administrative support
• Extremely detail-oriented (high level of organization and follow-through is critical)
• Proactive, self-starter mindset—someone who takes ownership
• Comfortable working cross-functionally with multiple teams
• Strong written communication (email-heavy role)
• Excel (basic–intermediate)
• CRM experience (HubSpot or similar preferred)
• Comfortable in a fully onsite, structured environment
