We are looking for an Accounts Payable Specialist located in our Orlando office who reports directly to the US Financial Controller.

In this role, you will support the finance team in maintaining accurate and up-to-date vendor ledger data. You will be processing overhead and project invoices. You will also coordinate expenses and supplier invoices, seek approvals and ensure payments are made as per our standards.

What you will be doing?

1. Ensure all overhead and project invoices are reviewed in accordance with department procedures and are entered into the financial accounting software promptly and accurately

2. Match invoices to purchase orders and ensure GL account and department coding are correct

3. Confirm invoices are received, approved and processed for payment (i.e., check payments, ACH and wire transfers, positive pay file uploads and similar payment actions)

4. Process proforma payments in accordance with our outlined approval process

5. Assist with employee expense payment and credit card processing

6. Run biweekly payments in accordance with our outlined approval process

7. Post-purchase ledger journals

8. Maintain insurance and bond

9. Review vendor statements monthly and resolve discrepancies.

10. Maintain strong working relationships both internal and external

11. Assist in the yearly audit including running reports and pulling backup.

12. Process 1099 tax forms yearly plus monthly sales tax returns.

13. Assist the finance team in other ad hoc duties as and when required.

14. Troubleshoot escalating issues, make decisions, communicating, and escalates as appropriate.

What Experience, Skills and Attributes you will need to be successful?

1. Excellent organization, prioritization and communication skills with an ability to work under pressure

2. Knowledge of GAAP, debits, credits, general ledger accounts helpful

3. Strong numerical ability with advanced Microsoft Excel, Outlook and Word skills including pivot tables, vlookups, if statements, etc.

4. Excellent attention to detail

5. Ability to work independently and with a team in a fast-paced and high-volume environment with an emphasis on accuracy and timeliness

6. Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately

7. Must have a strong work ethic

8. Detail-oriented, professional attitude, reliable

9. Must be well organized and a self-starter

10. Possess strong organizational and time management skill

What qualifications are required?

1. Associate degree in accounting with relevant work experience

2. Knowledge of state and local sales and use tax including filing returns, amended returns, required prepayments, services and entities that are exempt from taxation, etc.

3. 5 years' experience working within a finance department/similar role.

4. Knowledge of financial reporting systems similar to Navision and Rippling

Salary based on experience. Hybrid role with 3 days in office.
