Academic Assistant II
:
- Serve as academic support to faculty in the Department of Restorative Dental Sciences, including all three divisions: prosthodontics, operative dentistry, pre-doctoral general dentistry, and all graduate clinics. This includes, but is not limited to, data entry, collection of grades and competencies for the pre-doctoral and departmental graduate courses, input and submission of grades, and grade changes to the Office of the Registrar and the college's Office of Education, using programs such as Canvas (eLearning), AxiUm, Excel, ExamSoft, and When I Work.
- Analyze data and create statistical reports for the department chair, division directors, course directors, and the Office of Education.
- Monitors course schedules and deadlines and requirement tracking for students and faculty. Ensures all syllabi and grade scales are accurate and consistent with department policies and practices.
- Develop course materials and communications of a routine/non-routine and confidential nature at the direction of the chair and course directors.
- Handle all aspects of assisting faculty with preclinical psychomotor exam grading and proctor exams as needed.
- Assist with senior award ceremonies and graduation. Corresponds with and advises students about grade inquiries and course progress.
- Support the chair and division directors by creating and maintaining faculty schedules for all three divisions in Restorative Dental Sciences and its graduate clinics; this includes compiling information and leave requests from division Outlook calendars, feedback provided by the chair and division directors, faculty practice assignments, the college's academic calendar, preclinical, didactic, and clinical course schedules, and faculty assignment reports each semester. This position also monitors patient appointments in AxiUm and works with the chair, division director, clinical faculty, and staff to maintain proper coverage when unplanned absences occur.
- Responsible for completing academic activity reports (AARs) and faculty assignment reports (FARs).
- Maintain and sustain various databases and systems.
- Prepare reports for course directors, division directors, and the department chair. Organize and facilitate conference rooms for faculty meetings, grading, and presentations for faculty and residents. Order and track materials and supplies by funding source for the department, following all UF and department policies and procedures. Reconcile purchasing card charges.
- Interview and cross-train administrative staff.
- Responsible for assisting the director of the Center of Biomaterials with department labs, lab inspections, ordering and tracking lab supplies, and maintaining labs per EH&S requirements.
- Serve as backup to the OPS Secretary and Administrative Support Assistant II; this includes covering front desk duties while the OPS Secretary and Administrative Support Assistant II are at lunch or absent. Serve as backup for the pick-up and distribution of department mail and provide secretarial support to the department as needed. Provide positive customer service when assisting faculty, residents, staff, students, etc.
- Perform other duties as assigned.
Expected Salary:
$21-$24/hr.
Minimum Requirements:High school diploma or equivalent and three years of relevant experience.
Preferred Qualifications:UF experience is strongly preferred.
Working knowledge and experience with Microsoft Word and Excel.
Must possess attention to detail, ability to work in a rapidly changing work environment, on multiple assignments simultaneously with the ability to prioritize and organize, problem-solve, and develop solutions that best meet the department's objectives.
Ability to establish and maintain effective working relationships with staff, faculty, students, and other visitors/guests. Ability to courteously and effectively work with people in person, via email, and telephone. Possess a commitment to excellence.
