About the Role
We are looking for a reliable and organized Administrative Assistant to support our Procurement Team and assist with the day-to-day operations of our procurement department. This role includes administrative work, shipment tracking, vendor communication, and inventory support within the Vape, Delta, and Smoke industry.

The ideal candidate is detail-oriented, communicates well, and can stay organized in a fast-paced environment.

Key Responsibilities:

Administrative Support:

• Handle emails and communications related to procurement, shipping, and inventory.
• Maintain organized records including invoices, purchase orders, and shipment information.
• Assist with data entry and general administrative tasks.
• Review information for accuracy and completeness.

Shipping Coordination:

• Coordinate with vendors and shipping partners to help ensure timely deliveries.
• Track shipments and follow up on delays or discrepancies when needed.

Procurement & Inventory Support:

• Monitor inventory levels and assist with restock orders.
• Communicate with suppliers regarding shortages or order issues.
• Assist with routine inventory checks and discrepancy research.
• Research products and vendors as needed.

Vendor Relations:

• Maintain communication with vendors through email, WhatsApp, and WeChat.
• Assist in resolving issues related to pricing, quality, and shipping timelines.

Qualifications:

• Previous administrative, procurement, inventory, or logistics experience preferred.
• Experience in the smoke or vape industry is a plus.
• Strong organizational and multitasking skills.
• Comfortable using Gmail, Google Sheets, Excel, and Word.
• Good written and verbal communication skills.
• Detail-oriented and dependable.
• Able to work independently and manage priorities in a fast-paced environment.
