Purchasing and Accounts Payable Assistant

We are searching for a Purchasing & AP Assistant for one of our key clients located in Bartow, Florida, an industrial maintenance company focused on providing high quality products and services, and excellent service and support to its clients. The ideal candidate is detail-oriented and organized, with experience in both purchasing and accounts payable functions, and enjoys working in a fast-paced environment.

Responsibilities:

• Collect information to set up new suppliers and maintain accurate vendor records.
• Prepare and submit purchase orders in Sage CRE 300 and Microsoft Office.
• Coordinate timely procurement of materials, supplies, and services.
• Verify receipt of goods and services with other departments and resolve discrepancies.
• Assist Accounts Payable by entering invoices, matching purchase orders, and reviewing credit card receipts.
• Support the AP team with daily and weekly tasks, acting as backup during absences.
• Reconcile vendor statements and assist in resolving payment issues.
• Maintain organized purchasing and AP documentation.
• Collaborate with project managers and other staff to meet operational needs.
• Contribute to a positive vendor relationship through timely communication and follow up.
• Perform additional related tasks and participate in special projects as assigned.

Qualifications:

• Experience in purchasing, procurement, and accounts payable.
• Familiarity with Sage CRE 300 preferred.
• Proficiency in Microsoft Office Suite.
• Strong organizational and analytical skills with attention to detail.
• Effective communication and interpersonal skills.
• Ability to manage multiple tasks and priorities.
• Comfortable working independently and as part of a team.
• Experience in manufacturing or maintenance is a plus but not required.
