About Us
Arthritis & Osteoporosis Treatment Center (AOTC) is a physician-owned specialty practice dedicated to providing comprehensive, compassionate care for patients with rheumatic and autoimmune diseases. Our integrated model includes on-site infusion services, radiology (X-ray, DXA), and a medically integrated dispensing (MID) pharmacy. As we continue to grow and modernize our operations—including a transition to eClinicalWorks (eCW) and expansion of clinical services—we are seeking an experienced Operations Manager to help lead the next phase of our practice’s development.
Position Summary
The Operations Manager will oversee daily administrative, clinical, and business operations across the practice. This individual will play a key leadership role in optimizing workflows, maintaining regulatory compliance, managing staff performance, and ensuring an excellent patient experience. The ideal candidate is proactive, organized, and able to balance strategic priorities with hands-on management.
Key Responsibilities
Operational Oversight
Supervise and coordinate activities of front office, billing, scheduling, and clinical support teams.
Develop, implement, and refine standard operating procedures (SOPs) to improve efficiency and accountability.
Monitor patient flow, scheduling accuracy, and provider utilization.
Support onboarding, training, and ongoing development of staff across departments.
Partner with the Practice Administrator and Physician Owner to identify operational improvements and execute new initiatives.
Compliance & Quality
Ensure compliance with HIPAA, OSHA, and all applicable healthcare regulations.
Maintain accurate records and support audits, reporting, and quality improvement initiatives.
Support implementation and optimization of the electronic medical record (eCW) and related systems.
Financial & Performance Management
Track operational and financial performance metrics (productivity, collections, patient satisfaction, etc.).
Assist with budgeting, expense monitoring, and vendor management.
Collaborate with billing and clinical teams to ensure smooth revenue cycle operations.
Strategic Projects
Lead or support projects related to technology upgrades, EMR transition, and facility expansion.
Coordinate vendor relationships, contracts, and service agreements.
Identify opportunities to improve patient access, care coordination, and overall efficiency.
Qualifications
Bachelor’s degree in Healthcare Administration, Business, or related field (preferred).
Minimum 3–5 years of management experience in a medical or specialty practice setting.
Strong knowledge of medical office operations, insurance processes, and compliance standards.
Excellent communication, leadership, and problem-solving skills.
Proficiency in Microsoft 365 and familiarity with EMR systems (eClinicalWorks preferred).
Ability to thrive in a fast-paced environment and manage multiple priorities simultaneously.
