Job Summary of Administrative Assistant:
The Administrative Assistant provides professional reception functions that support quality clinical services, efficient business practices and engaged client service.
Essential Duties and Responsibilities of Administrative Assistant:
- Provides clerical support to the team by word processing correspondence, rescheduling evaluations, making copies, faxing and/or mailing records, releases and PCP notifications within the business week and completing other reasonable requests. Completes tasks within the required time frame.
- Develops and maintains the weekly appointment schedule, based on input from the Therapists. Collects co-pays at time-of-service. Gives receipts to the consumer. Ensures that all copays are entered into the EHR, and batches out the credit card machine at the end of the day.
- As client leaves the office, schedules the next appointment as necessary, distributes an appointment card and provides a school excuse.
- Provides reminder phone calls to clients for all therapist appointments scheduled.
Education and Experience Requirements of Administrative Assistant:
- A high school diploma and at least one year of office experience providing customer service and clerical support.
- Intermediate computer skills
- Microsoft Office Suite and an electronic health record.
Preferred Education and Experience of Administrative Assistant:
- Previous work in a medical setting
- Paid experience working with children and their families.
- Adult and Pediatric CPR/AED and First Aid
- Bilingual (Spanish) is preferred
