We are seeking a Construction Accountant/Office Manager for a fast growing GC with 100+ working doors and growing rapidly. We manage projects from predevelopment to completion & turnover.
You will be responsible for the organization and daily management of office functions, Quickbooks Bookkeeping - AR/AP, keeping project documentation up to date, and maintaining the project servers.
Responsibilities:
- Ensure all new subcontractors have signed contracts, up to date W9, COI, and enter this into quickbooks for PTD and outstanding payment tracking
- Oversee/setup new programs as required to create standards and procedures for accounts receivable and payable.
- Experienced management and track of all employee and all project expenses - from new contracts, to change orders and billing via subcontractors and vendors.
- Provide weekly update on what is due out to vendors & subcontractors on a per project basis.
- Issue checks, allocate to contracts/PO's, acquire lien releases, and any other appropriate documentation.
- Manage day to day office functions and materials
- Set up new vendor accounts and create new trade accounts with various vendors.
- Maintain online server to ensure all plans, permits, and contracts are up to date for easy accessibility.
- Place approved orders with vendors as needed.
- Experience with project documentation - from NOC creation & recording, various permitting functions and organization.
- Ability to submit utility requests to TECO, FPL, and numerous city departments.
- Flexibility to maintain existing tasks and seeking someone with the ability to grow within a rapidly growing business.
Qualifications:
- Previous experience as a construction office manager & bookkeeper.
- Knowledge of common construction office management.
- Proven Construction coordination experience - NOC's/project documentation, permitting submission and maintainability, sending quotes and ability to enter into systems compare, etc.
- Familiarity with construction documentation, lingo/wording and proven experience in the industry.
- Ability to put a contract together with provided SOW, enter contract amounts, adhere to PTD and outstanding and be able to track COR's against record.
- High level of organization and understanding in construction expenses - contracts, expenses, bills, and change orders.
- Ability to communicate with subcontractors for incoming payment requests to obtain a full understanding of billing, accuracy and approval to then verify with project mangers prior to release of payment.
- Strong leadership and organizational qualities
- Ability to work in high stress & face paced environments.
- Ability to self manage and maintain schedule and deadlines.
Salary is based on experience and proven track record.
