Executive Assistant

We are seeking a highly organized, tech-savvy, and proactive Executive Assistant to provide comprehensive support to our CEO and President. Responsibilities
- Manage and maintain the calendars of the CEO and President, including scheduling meetings and coordinating travel arrangements
- Handle a high volume of phone calls, emails, and correspondence with professionalism and urgency
- Prepare reports, presentations, agendas, and meeting materials
- Draft and edit internal and external communications
- Screen and prioritize incoming requests, determining appropriate follow-up actions
- Coordinate with internal departments, board members, vendors, and clients to facilitate effective communication and workflow
- Maintain organized digital and physical filing systems
- Track action items and ensure deadlines are met
- Assist with special projects and strategic initiatives as assigned
- Identify and implement opportunities to improve workflows using AI and automation tools such as Microsoft Copilot, and other productivity platforms
Qualifications
- Minimum 3–5 years of experience supporting senior executives
- Exceptional written and verbal communication skills
- Strong organizational and time management abilities
- Demonstrated ability to handle confidential information with discretion
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Experience using AI tools to create efficiencies, automate tasks, and improve productivity
- Ability to work independently, anticipate executive needs, and adapt to changing priorities
- Experience in property management, landscaping, or a service-based industry is preferred
- Familiarity with project management and workflow tools is a plus
- Strong problem-solving and critical-thinking skills
- Professional demeanor with excellent interpersonal skills
- Comfortable working in a dynamic, entrepreneurial environment
