Executive Assistant

We are seeking a highly organized, tech-savvy, and proactive Executive Assistant to provide comprehensive support to our CEO and President. As a key member of our team, you will play a vital role in ensuring the smooth operation of executive functions, maintaining confidentiality, and contributing to strategic initiatives. Responsibilities

  • Manage and maintain the calendars of the CEO and President, including scheduling meetings and coordinating travel arrangements
  • Handle a high volume of phone calls, emails, and correspondence with professionalism and urgency
  • Prepare reports, presentations, agendas, and meeting materials
  • Draft and edit internal and external communications
  • Screen and prioritize incoming requests, determining appropriate follow-up actions
  • Coordinate with internal departments, board members, vendors, and clients to facilitate effective communication and workflow
  • Maintain organized digital and physical filing systems
  • Track action items and ensure deadlines are met
  • Assist with special projects and strategic initiatives as assigned
  • Identify and implement opportunities to improve workflows using AI and automation tools such as Microsoft Copilot, and other productivity platforms

Qualifications

  • Minimum 3–5 years of experience supporting senior executives
  • Exceptional written and verbal communication skills
  • Strong organizational and time management abilities
  • Demonstrated ability to handle confidential information with discretion
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Experience using AI tools to create efficiencies, automate tasks, and improve productivity
  • Ability to work independently, anticipate executive needs, and adapt to changing priorities
  • Experience in property management, landscaping, or a service-based industry is preferred
  • Familiarity with project management and workflow tools is a plus
  • Strong problem-solving and critical-thinking skills
  • Professional demeanor with excellent interpersonal skills
  • Comfortable working in a dynamic, entrepreneurial environment
