Unit Secretary
We’re looking for a Unit Secretary to join our team! This position will be responsible for supporting the Unit Supervisors in the daily operations of five residential homes and two independent living homes. This role will ensure proper documentation, scheduling, and reporting to promote continuity of care for children and young adults in placement.

- Prepare and organize child files for new intakes; properly file documents for discharges.
- Assist with new intake paperwork.
- Attend all necessary staffing meetings.
- File assessments, evaluations, service plans, notes, and related documentation in the designated order per the case file table of contents.
- Schedule and calendar family visits, case manager visits, external therapy appointments, and other required services for houses.
- Provide any necessary reporting requested by CEO, Program Director, supervisor, lead agency, service provider, etc. to maintain continuity of care for individuals in placement.
- Ensure accuracy and timely submission of all required weekly and monthly required documentation.
- Maintain a safe, trauma-informed, and clean office environment.
- Complete monthly updates to Service Plans and ensure proper filing in child records.
- Request and obtain documentation from external entities to ensure service delivery.
- Other duties assigned.
- Reliable in arriving on time and ready to perform job duties, with flexibility to work all assigned shifts and hours.
- Maintain a professional demeanor to clients, staff, and external parties.
- Must be culturally sensitive and able to communicate effectively and professionally with all levels of personnel and children.
- Strong time-management skills with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Problem-solving skills with the ability to identify and implement effective solutions.
- Ability to work collaboratively and respectfully with all employees while complying with EEOC rules and accepting constructive feedback from management in a professional manner.
- High School Diploma or equivalent required.
- A minimum of 2 years of administrative experience is highly preferred.
- The ability to lift up to 50 pounds
- Frequent sitting, standing, walking and climbing stairs

- Frequent use of hands and fingers
- The ability to hear and respond quickly to sounds
- The ability to communicate effectively with others
