Job Description
The Administrative Assistant's role is to assist the Motorpool Department in keeping daily clerical work and record-keeping updated.

Essential Duties and Responsibilities
- Pay parking and toll violations to ensure no stop holds on registration renewals and to prevent collection agency fees
- Enter parts costs and labor into the monthly allocation sheet by the end of the month and submit to Accounting after review by the Motorpool Manager
- Prepare FedEx overnight and ground shipments of parts as requested, including tracking and processing returns
- Process invoices in Oracle (AP) in a timely manner, including vendor invoices and credit card receipts
- Maintain all vehicle files, including uploading registrations, insurance cards, and other documents into the inventory system
- Assist the Motorpool Manager and Director with payroll processing
- Provide support with other tasks as needed
Qualifications
- One to two years of related experience and/or training, or an equivalent combination of education and experience
Education & Certifications
- High school diploma or equivalent required
- Associate degree a plus
Skills & Knowledge
- Proficiency in Microsoft Office
- Strong administrative and organizational abilities
- General computer skills
Physical Demands
- While performing the duties related to this position, the team member will regularly visit construction sites
- The team member must occasionally lift and/or move up to 10 pounds
- Ability to write simple correspondence
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other team members
