About the Role
We are seeking a detail-oriented Marketing & Administrative Coordinator to support marketing and leasing initiatives across commercial and multifamily real estate portfolios.
This role blends creative marketing execution with reporting, vendor coordination, and administrative support. You will collaborate closely with Leasing, Property Management, Legal, and Finance to ensure brand consistency, accurate information, and timely delivery of materials.
Key Responsibilities
Portfolio Marketing & Leasing Support
Update and maintain multifamily and commercial floor plans, including layout edits, branding, version control, and distribution
Maintain availability sheets, stacking plans, and online listings across websites, ILS platforms, and broker portals
Compile and distribute a monthly Commercial Leasing Report including availability updates, pipeline summaries, campaign metrics, and relevant financial/legal insights
Design and distribute broker e-blasts using Constant Contact, including list management
Manage company and property-level social media accounts, including scheduling, engagement tracking, and performance reporting
Develop and execute advertising campaigns across digital, print, and trade publications
Design and coordinate direct mail campaigns and targeted postcard initiatives
Coordinate post-and-panel leasing signage, including vendor management and installation timelines
Prepare marketing materials for trade shows, broker events, and industry functions
Design and maintain branded collateral including brochures, flyers, one-sheets, tour books, property maps, and business cards
Oversee website development projects and enhancements in collaboration with vendors and internal stakeholders
Maintain accuracy and branding across all company and property websites
Administrative & Budget Support
Assist with development and tracking of annual and campaign-level marketing budgets
Process purchase orders and invoices; monitor spending and track ROI
Coordinate seasonal tenant initiatives and outreach
Ensure marketing consistency across all platforms and materials
Support the commercial new tenant move-in process
Coordinate tenant directory listings and suite signage installation
Required Qualifications
2–4 years of experience in marketing, leasing administration, or property/asset marketing within multifamily and/or commercial real estate
Experience with email marketing platforms such as Constant Contact
Proficiency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop) or advanced Canva skills
Strong PowerPoint or presentation design experience
Excellent organizational skills with the ability to manage multiple priorities
Strong attention to detail and commitment to accuracy
Preferred Qualifications
Experience with commercial real estate platforms such as LoopNet and/or CoStar
Familiarity with multifamily ILS systems
Experience with property management or CRM platforms (Yardi, MRI, RealPage, Salesforce, HubSpot)
Knowledge of leasing terminology, stacking plans, and signage coordination
Experience supporting events, trade shows, and third-party vendors
Compensation & Benefits
Salary range: $75,000 – $85,000 annually (based on experience and qualifications)
