POSITION OVERVIEW AND RESPONSIBILITIES:

This position is responsible for comprehensive administrative support to the Executive Director and the Office of Public and Professional Guardians (OPPG).

PAY:

Salary will be commensurate with experience and qualifications ranging from $35,317.32, annually.

DUTIES AND RESPONSIBILITIES:

This includes, but is not limited to, coordination of assignments, work projects and meetings, communicating essential information about the work of OPPG, as well as prompt customer service to all internal and external stakeholders of the OPPG,

  • Coordinates meetings and schedules, sets up and operates necessary technical services or equipment as requested and communicates any problems or conflicts with office technology, equipment or supplies with appropriate office or agency management.
  • Serves as the central “point of contact” for general information regarding guardianship and services of the OPPG, to other DOEA divisions and the Secretary’s office to ensure information flows smoothly and in a timely manner. Serves as the correspondence tracking point of contact with Communications, Agency Clerk and Legislative Affairs.
  • Performs fiscal, personnel, purchasing tasks as assigned and other administrative functions including routine office organization, backup to the Registrar and assists Complaints Intake.
  • Assist the director and legal staff with court or other administrative tribunal filings, preparation of supporting documentation for proceedings as well as administrative notifications of rule promulgation, timely filing of public meeting notices, coordination of subpoena service, court reporters, and processing invoices. Point of contact for witnesses and general legal support as requested.
  • Assist with complaints regarding public & professional guardians.
  • Maintains good communication with the courts or other administrative forums, state agencies and contract providers and alerts the Executive Director of any changes that need OPPG attention.
  • Assist the director by handling a variety of correspondence and prioritizes correspondence requiring the attention of the director. Prepares replies, or delivers to appropriate OPPG staff for review or response.
  • Responsible for reviewing budget and expenditure reports. This includes the review and reconciliation of P-card utilization, phones, dues, state travel and conference or continuing education requests.
  • Responsible for tracking the preparation and submission of required reports prepared by the OPPG.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge, skills and abilities, including utilization of equipment, required for the position:
  • Knowledge of professional office administrative functions, phone and communication protocols, general professional office practices.
  • Strong organizational skills.
  • Able to multi-task, follow written and oral directions and carry out required assignments with minimal supervision.
  • Strong written and oral communication skills, correct grammar, punctuation and spelling, attention to detail and being able to maintain professional and courteous demeanor and be able to adapt to change.
  • Able to establish and maintain cooperative working relationships, work independently and as part of a team within the unit and the agency as appropriate.
  • Abe to navigate multiple computer screens, applications and online research engines. Proficient in Windows operating environments to include Word, Excel, Outlook, PowerPoint, OneDrive and SharePoint.
  • Familiarity with Florida statute, administrative code, rule promulgation procedures, public records
