Quality Assurance Specialist
Position Summary
The QA Specialist is responsible for reviewing, analyzing, and improving the accuracy, completeness, and quality of documentation, workflows, and operational outputs across the department. This role ensures that work meets organizational standards, supports compliance, identifies process improvement opportunities, and provides feedback to team members to enhance performance. The QA Specialist collaborates closely with clinical, operational, and administrative teams to promote consistency, reliability, and quality across all processes.
Essential Functions:
- Conduct quality reviews of documentation, records, and workflows to ensure accuracy, completeness, and adherence to organizational standards.
- Provide constructive, timely feedback to staff to improve documentation quality and compliance.
- Track and report quality trends, common errors, and opportunities for training or workflow improvement.
- Collaborate with team leads and managers to refine documentation standards, processes, and QA methodologies.
- Ensure compliance with HIPAA and other regulatory or company-specific guidelines.
- Assist in identifying missing or incomplete information in systems and communicate findings to the appropriate departments.
- Support internal and external audit requests by gathering and verifying necessary documentation.
- Maintain detailed and organized QA logs, reports, and documentation of findings.
- Participate in training initiatives, coaching sessions, and quality-focused meetings.
- Serve as a resource for team members regarding documentation standards, processes, and quality expectations.
Required Education and Experience:
- Certification or training in a healthcare or documentation-related field (e.g., CMA, medical terminology coursework, HIM coursework), or equivalent professional experience.
- Experience working with documentation-heavy workflows, preferably within healthcare or a regulated environment.
- Strong written communication skills and excellent attention to detail.
- Proficiency with the Windows platform, Microsoft Office Suite, and computer-based tools.
- Experience working in electronic systems or EHRs (if healthcare-specific).
- Strong analytical skills, including the ability to identify error patterns and recommend improvements.
Competencies and Preferred Qualifications:
- Background in quality assurance, auditing, or compliance.
- Experience in Chronic Care Management or clinical documentation review.
- Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, advanced formulas).
- Prior experience providing training or feedback to staff.
Position Type and Expected Hours of Work:
This is a regular, full-time position that operates in an office or remote work environment.
Physical Requirements:
This is a sedentary position that requires the ability to sit or stand for extended periods and work at a computer.
Work Environment:
This is a remote position. We will provide you with the equipment and software needed, such as a laptop and necessary accessories.
