Front Desk Receptionist
Join a respected property management team as a Front Desk Receptionist/Administrative Assistant, where you will be the first point of contact for residents, tenants, and guests. This full-time, Monday through Friday position (8am–4pm) offers the opportunity to work in a collaborative and professional environment that values teamwork, attention to detail, and a commitment to serving the community. Responsibilities
- Warmly greet and assist residents, tenants, and visitors as the primary front desk representative.
- Answer and direct incoming phone calls, manage multiple lines, and respond to voicemail messages promptly and professionally.
- Respond to emails and inquiries in a timely manner, ensuring clear and accurate communication.
- Assist with onboarding new owners and tenants, including registration of vehicles, bicycles, pets, and tele-entry information, as well as issuing parking decals and access FOBs.
- Maintain and update owner and tenant records, spreadsheets, and databases to ensure accurate information.
- Support lease application processes, including tracking lease expirations, notifying relevant parties, and coordinating move-in/move-out logistics.
- Manage guest parking requests and club room rental applications, including handling deposits and follow-up communications.
- Assist with the management of the Association’s website, including user registration, document uploads, and minor troubleshooting.
- Send community-wide email notifications and assist with annual meeting mailings.
- Collaborate with the Property Manager, Administrative Assistant, Maintenance Supervisor, and other staff to ensure smooth office operations.
- Maintain a neat, clean, and professional appearance at all times.
- Perform additional administrative tasks as needed, such as typing and sending letters, and providing backup coverage for the Administrative Assistant.
Qualifications
- Proficiency with personal computers and Microsoft Office Suite (Word, Excel, Outlook).
- Ability to learn property management software and access/camera systems.
- Excellent telephone etiquette and ability to handle multiple calls simultaneously.
- Strong written and verbal communication skills, including proper grammar and timely email responses.
- Ability to work independently with minimal supervision and as part of a team.
- Strong organizational skills and attention to detail.
- Professional appearance and demeanor.
- Ability to learn and apply Association rules, policies, and procedures.
