Administrative Assistant
We are a family owned and operated business since 1959. We are looking for a compassionate, detail-oriented individual to join our team and grow in their knowledge! The Administrative Assistant will perform administrative tasks and services to support the office teams.
Duties/Responsibilities:
- Proofreads documents for accuracy including customer invoices, job sheets, company bills, and estimates
- Provides clerical support including making phone calls and emails, filing and printing documents, entering data, creating documents, generating reports, and more
- Maintains accurate files, records, and documentation
- Performs data entry including resolving processing errors, and making inquiries to verify information
- Acts as a liaison to relay information between the office staff and field operations, vendors, and clients
- Coordinate meetings, appointments, and calendars
- Performs other duties as assigned
Required Skills/Abilities:
- Excellent English verbal and written communication skills.
- Excellent interpersonal skills with the ability to protect client confidentiality in all situations
- Excellent organizational skills and attention to detail, ability to perform routine tasks with minimal supervision
- Proficient with Microsoft Office Suite, including Microsoft Excel (ability to filter, sort, clean, and interpret data as well as utilize basic functions like sums and averages)
- Proficient with or the ability to quickly learn Quickbooks, NetSuite, or equivilent
Education and Experience:
- Associate’s degree or higher in related field preferred
- Prior related office experience required
Physical Requirements:
- Prolonged periods of working on a computer and operating a phone
- Must be able to lift up to 15 pounds at times
