Job Title: Parts Assistant
Department: Parts
Reports To: Parts Manager
Summary: Specializes in selling parts, planning and purchasing, inventories, shipping and receiving, and issues spare parts for equipment repair and maintenance by performing the following duties:
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Nurture and maintain the highest level of customer satisfaction.
- Takes parts orders and provides customer support to the service department.
- Perform a variety of shipping/receiving tasks, including preparing bills of lading, packing lists, materials shipped and received forms, etc.
- Specializes in coordinating all aspects of managing incoming and outgoing courier services, including tracking of shipments via various online systems.
- Stock shelves with client product/stock.
- Perform physical inventory counts.
- Compares packing slips against purchase orders to verify quality and quantity of merchandise received. Resolves any discrepancies. Inspects for damage and handles accordingly.
- Stores purchased parts in parts storage areas and issues parts to technicians upon request.
- Works to find lower cost suppliers
- Sells parts. Works with technicians to identify, spec and deliver required parts.
- Maintains purchase order numbers and assigns identifying parts numbers.
- Reads shop manuals to ascertain type and specification of part.
- Utilize EBS and foresight programs.
- Travel required.
- Actively participate in the morning Service Dept. daily meeting of job assignments.
- Review Parts orders/backorders with Service Manager and Service Administer prior to the morning Service Dept. daily meeting.
- Actively manage and communicate with vendors to expedite parts to increase Service Dept. utilization.
- Create purchase orders for technician's credit card and outside purchases
Equipment/Facilities
- Establishes and adjusts work procedures and schedules to meet requirements.
- Suggests changes in working conditions and use of equipment to increase the safety and efficiency of Parts and Service Department employees.
- Recommends measures to improve production methods, Parts and Service Department equipment performance and overall quality.
- Analyze and resolve work problems and/or assist employees in solving problems.
- Interprets specifications, blueprints, schematics and job orders to Parts and Service Department employees.
Safety
- Ensures that all new products ordered that require a MSDS have a MSDS for the Service Department
- Actively involved in corporate safety programs
Customer Relations
- Maintains direct customer/Service contact.
- Looks up, Locates, Processes order and Ships parts for customer/Service orders.

Education and/or Experience
One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have knowledge of accounting software; Inventory software; Manufacturing software; Order processing systems; Spreadsheet software and Word Processing software.
