Accounts Receivable Specialist

About Us:

We are a civil site construction company specializing in site development, utilities, earthwork, and related services. We operate in the residential, commercial and municipal markets throughout Central Florida. We’re looking for a detail-oriented, motivated AR Specialist to join our finance team and support the revenue cycle and billing functions, with opportunity to cross-train into accounts payable (AP) as needed.

Key Responsibilities:

• Perform data entry of customer invoices, billing records, payment receipts, and other AR documentation into the accounting system.
• Monitor and post incoming payments (checks, electronic transfers, credit card receipts) to customer accounts.
• Reconcile credit card statements, verify that charges and fees are properly recorded, and resolve discrepancies.
• Reconcile customer account balances: ensure timely application of payments, follow up on aging accounts, research and resolve variances.
• Maintain AR aging reports; flag overdue accounts and coordinate with project managers or collections as required.
• Assist with month-end close tasks related to AR: posting cut-off entries, verifying balances, preparing supporting documentation.
• Cross-train and support the AP side of the department when needed: e.g., assist with vendor invoice entry, statement reconciliation, or payment batching.
• Work with subcontractors, suppliers, clients and internal project teams to clarify billing issues, credit-card chargebacks, customer refunds or adjustments.
• Contribute to process improvements: help streamline billing workflows, reduce manual data entry, strengthen internal controls.
• Maintain data integrity, ensure accuracy of customer master files, billing terms, credit limits, and related AR records.
• Ensure compliance with company policies, accounting standards and relevant regulations.

Qualifications:

Required:

• High school diploma or GED. Associate’s degree in accounting, business, finance or related field preferred.
• System knowledge requirement: Acumatica Accounting System
• Minimum 1-2 years of AR or general accounting experience ( preferably in construction , contracting or heavy civil industry).
• If experienced in construction industry: proficient experience in lien releases and NTOs
• Strong proficiency in Microsoft Excel (e.g., formatting, formulas, sorting, filtering).
• Experience with data entry, reconciling statements and ledgers, handling invoices and payments.
• Excellent attention to detail and accuracy.
• Good communication skills; ability to deal professionally with internal and external stakeholders.
• Ability to learn new systems, adapt to evolving processes and work effectively both independently and as part of a team.

Preferred/bonus:

• Prior experience in AP functions or willingness to cross-train.
• Familiarity with construction industry billing practices, retainage, progress-billings, subcontractor pay applications.
• Experience with accounting software (for example, QuickBooks, Sage 100/300, Viewpoint, or similar).
• Some experience with credit-card processing or reconciliation of merchant statements.
