Administrative Assistant to the Breeze Transit Director

Department: Transit About Our Job We are searching for an experienced office support, capable of providing customer service, clerical, secretarial, processing and/or internal financial related duties. This critical position can require varying degrees of independent judgment, exceptional communication skills, and budget management abilities. Administrative Functions - Manage the workflow of assignments within the department, including items for the director's review; tracking deadlines.
- Provide administrative support to the Director, and other managers as needed, requiring tact, diplomacy and confidentiality.
- Write and complete routine acknowledgements or responses to inquires not requiring a supervisor's or manager's attention; draft other correspondence.
- Serve as the Director's customer service contact for the department and office area.
- Facilitate and oversee the common areas of the front office; assist walk-in customers and provide information as needed.
- Monitor customer service requests assigned by the Director and citizen inquires to ensure standards of excellence. Track to ensure timely follow up, consistent responses and resolution as required.
Department-wide Support - File and maintain the Breeze Transit Administration files, acting as the departments Records Management Coordinator and Public Records Request Coordinator.
- Coordinate with staff on records retention, regular reviews, and the maintenance of electronic files.
- Serve as the departments eGenda liason and gatekeeper on all eBars and eCars.
- Track all asset/supplies, managing the inventory and ordering office supplies as needed.
- Assist in welcoming new office employees to the department, setting up the office workspaces and ordering needed supplies.
- Prepare meetings, staff retreats, and special events.
Finance/Budget/Procurement/Contract Management - Manage the office's operating budget, tracking expenditures as assigned.
- Coordinate the Department Disaster Preparedness Plan (DDPP) in alignment with the department lead.
- Approve assigned purchase orders for payment, verifying services and/or products.
- Establish mail log and track correspondence.
Work Hours: - Full-Time, 40 hours per week.
- Monday - Friday, 08:00 a.m. - 05:00 p.m.
About You: Minimum Qualifications: - Associates degree from an accredited college or university.
- -OR- Year for year experience may substitute for the college degree.
- Four to Six (4-6) years of clerical, administrative and computer experience with some executive exposure.
Preferred Qualifications: - Skilled task management, advanced professional certifications, and/or executive assistance experience are desirable.
- Knowledge of processes utilized by Sarasota County.
About Everything Else: Starting Pay Range: $23.33 - $29.74, based on experience.
