Cash Office Associate (Full-Time)

SUMMARY

The Cash Office Associate is responsible for reconciling cash receipts, processing check deposits, helping to maintain an appropriate amount of cash on hand, entering accounts payable invoice batches and/or cash receipts and assisting with various clerical duties within the accounting department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Adhere to the established policies and procedures of the Museum

  • Maintain cash office security

  • Reconcile daily cash receipts with cashiers

  • Reconcile credit card activity

  • Prepare daily bank deposits and communicate any exceptions to management

  • Perform audit procedures to ensure accuracy of transactional data

  • Preparing cashier over and shortage reports

  • Report potential loss situations

  • Prepare cash drawers and change bags for issuance to cashiers

  • Ensure that sufficient change funds are on hand

  • Responsible for armored car pick up coordination

  • Importing ticketing and membership data from Tessitura and Heartland Retail (CRM systems) to Abila MIP (Accounting system)

  • Enter accounts payable invoice batches

  • Assist with the month end close process

  • Control workflow and manage time efficiently to ensure deadlines are met

  • Performs other duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES

  • Possess strong numeric reasoning skills (i.e., proficiency in adding, subtracting, multiplying, dividing, calculating percentages, and balancing accounts)

  • Demonstrate ability to effectively communicate both verbally and in writing

  • Attention to detail with a high degree of accuracy

  • Able to work well under pressure and be punctual

  • Experience in Microsoft Excel

QUALIFICATIONS

  • High school diploma or equivalent (GED) and a minimum of one (1) year of bookkeeping or cash handling experience required or an equivalent combination of education and experience.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those as employee encounters while performing the essential functions of this job. Work is usually done indoors in a climate-controlled environment and usually quiet. Schedule will include non-traditional hours, evenings, weekends and holidays.
