Customer Project Coordinator

About Us:

Karoly Windows & Doors is looking for a dependable, organized, and detail-oriented Project Coordinator to join our growing team. This role is all about managing the customer experience after the contract is signed, helping projects move smoothly from start to finish.

You'll be working closely with another team member to share responsibilities equally, helping manage the full project cycle. If you're a strong communicator, thrive in a structured environment, and love keeping things organized and on track, we'd love to hear from you.

:

• Placing product orders and tracking ETAs to ensure timely delivery
• Scheduling installations, inspections, and post-installation visits
• Collecting customer payments at key project stages
• Managing and processing warranty claims, including ordering and tracking replacement items
• Communicating with customers via phone and email to provide updates and support
• Answering calls via a multi-line phone system and helping manage project-related inquiries. Using the CRM system to stay on top of project details and timelines
• Collaborating via internal company chat with our installers and team to ensure projects stay on schedule
• Maintaining clear records and notes on all active jobs
• Not required but would be great if you have experience in coordinating and pulling permits, and scheduling inspections with cities/counties to help your team partner.

What We're Looking For:

• Strong organizational and time management skills
• Confident communicator, especially over the phone and via email
• Comfortable using a CRM system and internal messaging tools
• Familiarity with Google Calendar, Gmail, and spreadsheets
• Someone who thrives in a fast-paced but well-structured environment
• Detail-oriented and comfortable juggling multiple moving parts
• Would be a plus if you have prior experience with permits or city scheduling

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 40 per week
