Position Summary:
The Clinic Supervisor is responsible for the day-to day operations and staffing of the Front Desk to ensure a smooth patient flow and excellent customer service. They are charged with providing leadership and guidance to staff to facilitate quality patient care and satisfaction. They are responsible for preparing and reporting of department statistics and developing and implementing policies and procedures.
Qualifications: High School Diploma, A.S. or A.A. degree
Minimum of 2 years of Supervisory experience in medical practice
Key Responsibilities:
· Oversee the operations of the Front Desk and clinic zones.
· Maintain schedules for all assigned Front Desk staff to ensure appropriate coverage.
· Receives employee call outs and reassigns staff as needed to cover clinics. Coordinates coverage from/for other locations as needed.
· Reviews additional clinic requests to ensure adequate staffing available.
· Monitor zones/office waiting room flow management.
· Must demonstrate sound interpersonal skill, organizational abilities and proper interaction with staff members, health care providers and family members.
· Assists Clinic Manager with Front Desk employee evaluations and disciplinary actions.
· Train and ensure staff are adhering to all new/revised standard operating procedures and policies and procedures.
· Assist in handling patient complaints and ensures Quality Assurance Department is notified, as necessary.
· Manages all Never Turn Patient’s Away cases and reports any unresolved cases to appropriate Director for approval.
· Verifies and approves daily batches.
· Ensures bank deposits are made daily (satellite locations only).
· Meet with Medical Assistant Clinic Leads monthly to review Clinic Lead Checklist and ensure they are always maintaining proper stock of medical supplies and performing audits on Expiration Dates, AED, Oxygen and Eye Wash Stations and Medications.
· Responsible for ensuring cash box and petty cash is secured and accurate.
· Manage departmental and employee issues as needed.
· Conducts bi-weekly meetings with Front Desk Lead, to include agenda and minutes turned in to Clinic Manager.
· Ensures office cleanliness by random audits for compliance.
· Establish and enforces OSHA/HIPAA compliance.
· Help cover Urgent Care Nights and Saturday (Brandon and South Tampa only)
· Acts as Dispensary Tech as required and/or needed.
· Help with the Clinical in box.
· Serves as a member of the Emergency Medical Response and Violence Response Teams (satellite locations only).
· Acts as a clinical coordinator between staff, physicians, and administration.
· Assists Manager with new employee interviews.
· Approves employee’s timesheets in payroll system.
· Oversees the Front Desk Training Program Trainers and maintains all training materials (Telecom only).
· Orders and maintains stock of all office supplies.
· Orders and maintains stock of all cleaning supplies (satellite locations only).
· Available for Front Desk staff questions and call out for weekend clinics.
· Ensures Front Desk Representatives are collecting appropriate co-pays, balances, and all other monies due from patients.
· Ensures office location is always clean and acceptable.
· Acts as Front Desk Representative as required and/or needed.
· All other duties as assigned.
