Family Law Administrative Assistant
:
ROLE AND RESPONSIBILITIES Orlando Family Team is seeking a Family Law Administrative Assistant.
The position is expected to provide administrative support to Attorneys, other legal staff, and office visitors by handling a variety of tasks in order to ensure that all interactions between the firm and others are positive and productive. Highly organized with a sharp attention to detail, while having strong communication and time-management skills with the ability to handle confidential information in a fast-paced environment.
- First point of contact for both in-person and over the phone for leads, clients, and other professionals and routing for same; Greeting and communicating with leads, clients, counsel, judicial assistants, etc.;
- Responsible for performing office opening and closing procedures;
- Ensure reception area, conference rooms and staff area are always tidy and presentable;
- Well-versed in client services with knowledge on handling confidential and sensitive information;
- Manage all incoming leads from first contact and scheduling through the consultation and hiring;
- Coordinate phone conferences with lead attorneys on cases as needed and requested by Management and staff;
- Excellent ability to multi-task; deadline and detail-oriented;
- Knowledge of appropriate and ethical billing procedures and entering billable and non-billable time consistently and efficiently with a focus on administrative duties over legal services;
- Managing client and case invoices, including the processing and collection of balances due, as well as the replenishment of fees to client accounts;
- Collecting, routing and preparing mail and hand-delivered packages;
- Responsible for collecting consultation fees from leads and with collecting other Operating and Trust payments;
- Scanning, photocopying, and faxing documents;
- Prepare evidence and discovery received for client's physical case file;
- Manage Service inbox and Maintain digital case index;
- Maintaining lead and client information in MyCase;
- Managing the maintenance of electronic files, ensuring same are available and in the proper location and order;
- Review all pleadings as filed through E-portal in order to stay abreast of case status for each client;
- Back-Up to Legal Team as needed;
- Eager to accept new tasks as delegated by attorneys that may not be listed within this ;
- Willing to adapt to a rapidly-growing, and ever-changing office environment as we continue to expand;
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High school diploma or equivalent required
- At least one (1) year of recent family law experience highly preferred
- At least one (1) year of legal receptionist, client intake or executive/administrative experience required
PREFERRED SKILLS
- Florida Notary Public a plus;
- High English and Spanish speaking, reading and writing proficiency a must;
- Must know Microsoft Office (Word, Outlook, Excel);
- Must be able to work independently and in harmony with all staff. We are a fun and dedicated group;
- Must have strong communication skills and history of same;
- Must have basic knowledge of billing and collections;
- Experience with state courts and e-Filing systems a plus, though not required;
- Experience with MyCase Case Management a plus, though not required; and
- Experience with Apple/MacOS software a plus.
ADDITIONAL NOTES
- Compensation: Starting at $40,000 annually - Salary commensurate with experience.
