Office Operations Associate
Careerscape is recruiting on behalf of our client, a growing media company, for an Office Operations Associate to help keep a fast-moving, content-driven business running smoothly. This is a great opportunity for a highly organized self-starter who enjoys wearing many hats, supporting teams across departments, and being the go-to person who keeps projects, schedules, and vendor relationships on track.
Day to day, you will juggle calendars, coordinate logistics, manage office and vendor accounts, and jump in wherever operational support is needed, all while working remotely alongside a distributed creative and business team. People who thrive in this role are proactive problem solvers who like variety, communicate clearly, and take pride in making everyone else's job easier.
Responsibilities
- Coordinate day-to-day office operations and administrative workflows for a remote team
- Manage calendars, meetings, and travel arrangements for leadership and department heads
- Serve as primary point of contact for vendors, suppliers, and service providers
- Process invoices, expense reports, and basic budget tracking in coordination with finance
- Maintain digital filing systems, shared drives, and internal documentation
- Support onboarding and offboarding logistics for new hires and contractors
- Assist with planning and coordinating virtual and in-person company events
- Track office supply and equipment needs for remote staff and ship items as required
- Help coordinate cross-department projects and follow up on outstanding action items
- Respond to internal requests and troubleshoot day-to-day operational issues
Requirements
- 2 or more years of experience in office administration, operations, or a similar support role
- Strong organizational skills with the ability to manage multiple priorities at once
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office and Google Workspace tools
- Experience coordinating calendars, travel, and meeting logistics
- Comfortable working independently in a remote, fast-paced environment
- Attention to detail and a high level of follow-through
- Experience with project management or ticketing tools such as Asana or Monday.com preferred
- Prior experience in a media, entertainment, or creative industry company is a plus
