Job Overview
Insight Chiropractic is seeking a dedicated and dynamic Clinic Office Manager to join our new and growing practice in Ormond Beach, FL. This full-time, in-person position is pivotal in ensuring the smooth operation of our clinic as we establish ourselves as the community’s leader in chiropractic and natural health care. Initially, the role will include receptionist responsibilities, managing front desk operations, and supporting patient interactions. As patient volume grows, a full-time receptionist will be hired, allowing the Office Manager to focus on broader operational and administrative leadership. The ideal candidate will embody our core values, demonstrate strong organizational skills, and contribute to a compassionate, patient-centered environment.
Job Responsibilities
- Operational Management : Oversee daily clinic operations, including scheduling, inventory management, and compliance with health and safety regulations.
- Patient Interaction : Greet patients, manage check-in/check-out processes, answer inquiries, and ensure a welcoming and professional experience.
- Administrative Duties : Handle billing, insurance claims, and financial transactions; maintain accurate patient records; and coordinate with vendors and suppliers.
- Team Support : Assist in onboarding and training new staff, coordinate staff schedules, and foster a collaborative team environment.
- Marketing and Community Engagement : Support marketing initiatives, such as social media updates, community outreach events, and patient retention programs.
- Receptionist Duties (Initial Phase) : Manage phone calls, appointment scheduling, patient follow-ups, and front desk operations until a full-time receptionist is hired.
- Continuous Improvement : Identify opportunities to streamline processes, enhance patient satisfaction, and align operations with the clinic’s mission and goals.
Qualifications
- Knowledge of Clinic Administration processes
- Experience : Minimum of 2 years of experience in office management, preferably in a healthcare or chiropractic setting. Experience with receptionist duties is a plus.
- Education : Bachelor’s degree in business administration, healthcare management, or related field preferred.
- Skills :
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills to interact with patients and team members.
- Attention to detail and problem-solving abilities.
- Proficiency in office software and equipment (e.g. Microsoft Office, electronic health record systems).
- Knowledge of medical billing and insurance processes
