Business Operations Coordinator
Griffin Resources is currently recruiting for a Business Operations Coordinator on behalf of our client, Metro Development Group, located in Tampa, FL.

The Business Operations Coordinator is a high-impact execution role that acts as a force multiplier for the business across Metro and ULTRAFi . This person translates leadership direction into organized action, ensures priorities stay on track, and creates clarity across a fast-moving organization.
In-office, Monday–Friday, 8:30 a.m.–5:30/6:00 p.m., with flexibility for extended hours or occasional weekends.
What You’ll Own:
- Drive executive priorities: Manage the Principal’s calendar, meetings, communications, and correspondence with clarity and professionalism, ensuring leadership time is focused on high-impact work.
- Turn meetings into action: Capture key discussions, publish actionable items, and follow through on every commitment — nothing falls through the cracks.
- Create visibility and progress: Maintain dashboards and trackers, anticipate issues, and resolve challenges before they escalate.
- Translate direction into execution: Convert verbal guidance into actionable plans, track multiple initiatives, and ensure deadlines are met.
- Collaborate and protect focus: Work cross-functionally with confidence and warmth, safeguarding blocks of time for strategic, high-leverage work.
- Strengthen operational excellence: Support ULTRAFi operations including contracts, billing coordination, research, and process improvement.
- Build systems for efficiency: Develop and maintain SOPs, dashboards, and light automations to streamline workflows and increase visibility.
- Own preparation and follow-up: Handle meeting logistics, prep materials, notes, and follow-ups to keep teams on schedule.
- Be a trusted partner: Proactively anticipate needs, resolve issues independently, and maintain confidentiality while representing leadership with professionalism.

How You’ll Work:

- 5+ years of experience in executive support, administration, or operations roles.
- Thrives in fast-paced, high-interruption environments; proactive, curious, and resourceful.
- Exceptional written and verbal communication; able to draft concise, tone-appropriate correspondence.
- Obsessive follow-through and micro-level attention to detail; consistently closes loops and delivers accuracy.
- Tech-fluent, systems-oriented, and comfortable building structure amid organized chaos.
- Exercises impeccable discretion and judgment when handling sensitive information.
- Operates independently with limited direction, taking initiative to drive the final mile.
- Approachable, professional, and adaptable.
