Job Summary: We are seeking a highly organized and friendly individual to join our team as a Receptionist. In this role, you will be the first point of contact for our company, providing professional and courteous service to our visitors and support to our staff. You will play a key role in maintaining an efficient and welcoming office environment in a fast-paced construction setting.
- Key Responsibilities:
- Greet visitors and direct them to the appropriate parties.
- Handle incoming calls and manage the company switchboard.
- Provide information to callers about company services and projects.
- Manage meeting room bookings and organize conference spaces as needed.
- Assist in scheduling appointments and updating the company calendar.
- Handle mail distribution and manage outgoing posts.
- Maintain a tidy and efficient reception area and meeting rooms.
- Provide administrative support to various departments, including document preparation, filing, and data entry as needed.
- Assist with inventory management of office supplies and place orders when necessary.
- Support project teams with administrative tasks related to construction projects.
- Liaise with contractors, suppliers, and clients to support company operations.
Qualifications:
- High school diploma or equivalent; further education or certification in office administration is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite and office management software.
- Excellent communication and organizational skills.
- Ability to handle multiple tasks and prioritize workload effectively.
- Knowledge of administrative and clerical procedures.
- Familiarity with the construction industry and its terminology is preferred.
- Professional attitude and appearance.
- Strong customer service orientation with the ability to interact with people at all levels.
