Position Overview

Gurrimatute is seeking a detail-oriented and motivated Accounting Clerk to support the Director of Finance. This role includes processing accounts payable, handling various types of data entry and document control, reviewing contracts for numerical accuracy, reconciling credit cards, and managing vendor correspondence. The ideal candidate will have prior bookkeeping experience and be eager to learn new project management software, including QuickBooks and ERP systems like Unanet.

Responsibilities

• Receive and process invoices from subconsultants and vendors

• Confirm allowable amounts/percentages with Project Managers

• Reconcile vendor and subconsultant accounts; resolve discrepancies

• Request, collect, and track Certificates of Insurance (COIs), W-9s, and insurance renewals

• Enter invoices into QuickBooks and ERP software (Unanet)

• Process employee expense reports and receipts

• Reconcile credit card statements and identify potentially fraudulent charges

• Enter project financial data, reimbursables, time, and expenses into the project management system

• Support Project Managers and Principals in integrating financial data into project systems

• Create and follow Standard Operating Procedures (SOPs) and company protocols

• File both digital and hard copy documents

• Assist with preparation of year-end documents for the CPA

• Perform other administrative duties as assigned

Requirements

• Highly organized with strong attention to detail

• Maintains confidentiality and handles sensitive information with discretion

• Comfortable with numbers and identifying errors

• Follows processes and operational procedures carefully

• Strong critical thinking and problem-solving skills

• Self-motivated and eager to learn

• Ability to multitask and work across several small projects simultaneously

• Excellent written and verbal communication skills

• Valid Florida driver’s license and reliable transportation

• Prior bookkeeping experience is required

• Associate degree in Accounting or Finance preferred

• Proficient with Microsoft Office 365 (Word, Excel, Teams, SharePoint), QuickBooks, and ERP software (Unanet a plus)
