Sales Assistant
We are looking for a Sales Assistant to support our VP of Sales and Senior AE. This high-output support position requires someone who can learn complex systems quickly, work independently, and use basic AI tools effectively to multiply the sales team’s capacity. Responsibilities include managing sales communications, qualifying and re-engaging leads, coordinating meetings and references, supporting pricing and sales materials, maintaining CRM hygiene, and assisting with sales operations tasks to help move deals forward.
Responsibilities will include:
Scheduling & Coordination
- Schedule sales meetings involving multiple stakeholders.
- Coordinate with the marketing team to organize client dinners for prospective client visits.
- Coordinate reference requests and connect prospects with customer advocates as needed.
Communication Support
- Monitor VP Sales email inbox and flag important emails requiring immediate response.
- Prepare pre-meeting notes by compiling recent Gong calls, HubSpot notes, and LinkedIn updates into 1-pagers before prospect calls.
- Track committed follow-ups and send a daily summary of action items.
Sales Operations Support
- Utilize pricing calculator and create pricing quotes using input from sales calls, emails, and HubSpot deal notes.
- Proof pricing calculators to ensure accuracy.
- Create tailored sales decks using the Master Deck template, customized based on seller direction, call notes, and meeting context.
- Use Claude AI to produce Sales/Customer Success handoff documents, cross-referencing Gong and HubSpot for accuracy.
- Maintain deal documentation hygiene by updating HubSpot properties after calls.
Light SDR Work
- Vet inbound website leads using documented workflow and ICP criteria; schedule sales meetings as appropriate.
- Mine HubSpot for closed/lost deals from 6-8 months ago and use templates plus AI to personalize re-engagement outreach.
Data & Analytics
- Work with the marketing team to outline case studies, pulling examples and data sets from platform data.
- Explore Looker Studio dashboards to find unique stats and insights for sales calls.
- Monitor key KPIs and success metrics; deliver a weekly report on trends, spikes, or anomalies.
- Conduct light competitor research and provide monthly summaries.
- Other duties and projects as assigned.

- Can identify when you’re stuck, clearly articulate the problem, and come with specific questions
- Are curious and detail-oriented, enjoy digging into data, finding patterns, and uncovering insights
- Require minimal supervision and can work from documented processes and templates
- Are comfortable with AI tools, can recognize AI errors, and iterate to get accurate outputs (primarily Claude)
Work Experience
- 1-2 years of professional experience in a sales assistant, sales, or sales support role
Preferred Education
- Associate’s degree or higher in Marketing, Business Management, Administrative Management, or a related field
Tool Proficiency Requirements
- HubSpot CRM: deal management, contact/company records, pipeline tracking, reporting
- Google Suite: Docs, Sheets, Slides, Calendar, Gmail
- Claude AI: comfortable using AI projects, recognizing errors, and iterating with AI
- Gong: reviewing call recordings and transcripts, using Gong AI to track down answers
- Looker Studio (bonus): exploring data, building insights from platform analytics
- LinkedIn Sales Navigator: support with qualifying and researching leads
Travel: Less than 5%. Remote environment.
Total Compensation
The hourly range for this position is $24–$28. Compensation decisions are influenced by multiple factors, including education, prior experience, training, skills, certifications, market demand, and internal equity.
