Job Summary:

At Nutrition Solutions, we thrive when operations run smoothly—and that starts with strong support behind the scenes. We’re currently looking for an Operations Executive Assistant to play a vital role in keeping our processes organized, efficient, and on track. The ideal candidate will be a proactive problem solver with excellent communication skills and strong attention to detail. This person should have experience in office administration, supporting multiple departments, and managing a variety of operational tasks.

In this role, you will provide day-to-day administrative support to ensure operations across all departments run efficiently. You’ll help execute logistical strategies and support internal workflows to meet critical deadlines. You’ll be responsible for maintaining and improving office systems, procedures, and documentation to ensure consistency and accuracy. You will communicate regularly with team members and leadership to support cross-functional initiatives. Strong proficiency in Microsoft Office tools—including Excel, Word, and PowerPoint—is essential, as you'll be managing data entry, reporting, and various administrative functions.

Duties/Responsibilities:

● Develop, update, and maintain administrative systems to improve efficiency

● Creates, shares, updates and organizes daily/weekly reporting for every departments

● Export and import of all client pack lists, shipping labels and delivery information from CRM

● Create, edit and QA pack list information for weekly productions

● Prepares and sends out all weekly scheduled client correspondence

● Assist CEO and management with admin and research tasks

● Data entry and writing reports

● Manages Google reviews and monitors online comments to ensure clients are being responded to in real time

● Oversight of equipment maintenance and functionality

● Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies or materials; placing and expediting orders for supplies; verifying receipt of supplies

● Creates resources and training materials for departments as needed

● Assisting with recruitment and onboarding processes

● Maintain up-to-date employee PTO records

● Conducts research tasks and creates presentations in accordance with

● Provides excellent customer support and relationship management with vendors

● Maintain inventory of admin/office/operations supplies

● Take accurate notes during meetings and coordinate with departments to ensure optimal communication and compliance

● Coordinate communication between departments when client issues arise.

● Provide operational support to other departments as needed

● Organizes travel arrangements and/or reservations when needed

Executive Assistant Skills and Qualifications:

● 5 years of proven administrative experience

● Works well independently and in a collaborative environment

● Customer service oriented

● Proficient using AI tools (e.g. ChatGPT, automation platforms, etc) to eliminate inefficiencies and enhance task execution at scale

● Excellent time management skills and ability to multi-task and prioritize work

● Proficiency in creating and managing process

● Strong organizational, planning and reporting skills

● Supply Management/Inventory Control

● High school diploma or equivalent; *college degree preferred
