Associate Director of Facilities (West Coast) Elevate the Standard of Preservation and Excellence

We are seeking a high-caliber Associate Director of Facilities to oversee our California portfolio, ensuring our state-of-the-art facilities remain the gold standard in climate-controlled preservation.

The Role Based in Los Angeles with travel to our Anaheim and Bay Area locations, you will be the architectural lead of our physical operations. You will balance technical hands-on supervision with high-level capital planning, ensuring our mechanical, security, and climate systems operate with fail-safe precision.

Core Responsibilities
  • Infrastructure Mastery: Manage complex mechanical systems, including specialized HVAC, fire suppression, security/access control, and Building Management Systems (BMS).

  • Strategic Planning: Develop and execute operating budgets and long-term capital plans.

  • Project Leadership: Lead small-to-midscale facility projects and coordinate with construction teams on major renovations, from initial scheduling to final commissioning.

  • Safety & Compliance: Act as the primary lead for emergency response; manage code compliance and conduct rigorous life-safety drills across five California sites.

  • Vendor Relations: Oversee contractors, utility providers, and procurement activities to ensure seamless service delivery.

Who You Are
  • Experienced: 5+ years in facility management, specifically within industrial, warehouse, or climate-controlled environments.

  • Technical: strong knowledge of MEP systems; HVAC, Journeyman, or PE certifications are highly preferred.

  • Agile: A decisive problem-solver who thrives in a fast-paced, high-accountability environment.

  • Flexible: Available for on-call emergency response and occasional nights/weekends.

Responsibilities

Associate Director of Facilities: Core Responsibilities

Operations & Systems Management

  • Maintenance: Oversight of HVAC, fire suppression, security, electrical, dock equipment, and water filtration systems.

  • BMS/BAS: Monitor Building Management Systems and provide performance reports.

  • Vendors: Manage utility providers, maintenance/cleaning contractors, and facilities procurement.

  • Compliance: Ensure all sites meet local, state, and federal code requirements; schedule and assist with inspections.

Project & Budgetary Oversight

  • Financials: Develop operating budgets and capital plans; manage facilities projects to strict budgets.

  • Project Management: Lead small projects and supervise large renovations, including scheduling, punchlisting, and commissioning.

  • Proposals: Procure estimates and proposals from third-party vendors.

Safety & Emergency Response

  • First Response: Act as primary contact for facility emergencies; manage access control and fire detection systems.

  • Training: Conduct regular fire/life safety drills across five California locations.

  • Security: Maintain escalation procedures and security camera systems.

General Coordination

  • Support: Facilitate internal/external events and manage employee workplace satisfaction.

  • Liaison: Escort vendors on-site and communicate facility issues to local and remote teams.

  • Logistics: Monitor attic stock and materials required for building service.
