About the role
The Regional Operations Manager provides strategic and day-to-day operational support to a professional lobbying team, ensuring client goals are met while maximizing operational efficiency and compliance. Partners with TSG Support Services to deliver enterprise-wide operational support while serving as a key point of office presence, leading initiatives and streamlining processes, and coordination for the Tallahassee location.

The ideal candidate is detail-oriented, organized, and able to work independently,
with professionalism, discretion, and confidentiality. This position requires a collaborative
mindset and the ability to support a growing, dynamic team.

Office & Administrative Operations
  • Serve as the consistent front-facing office presence — greet and assist visitors, clients, and elected officials professionally; ensure continuous front desk coverage and maintain workspace and meeting room readiness during all business hours.
  • Oversee daily office opening and closing procedures to ensure readiness and security.
  • Manage incoming phone calls and route inquiries appropriately.
  • Coordinate all incoming and outgoing deliveries, courier shipments, and food orders.
  • Serve as primary point of contact for office vendors (cleaning, HVAC, security, telecom, internet) and manage office and kitchen equipment maintenance and repairs, in coordination with the Real Estate Director.
  • Maintain inventory of office, kitchen, and branded supplies using cost-effective vendors; manage parking arrangements for new hires, lobbyists, runners, and interns.
  • Runner Program: In coordination with the Director of Operations and Capital Corner Operations Lead, support recruitment, onboarding, scheduling, supervision, and supply management for the office runner program.
Client, Compliance & Contract Support
  • Coordinate complex travel arrangements for lobbyists, consultants, and clients.
  • Assist lobbyists with monthly client activity reports and provide research and management support as needed.
  • Maintain client contact lists, organize client files, and maintain internal filing systems to ensure compliance with state requirements.
  • Support state registration processes, including collecting and notarizing lobbyist oaths.
  • Support contract-related processes — including conflict checks, amendments, client onboarding, and terminations — in coordination with the Contracts Team.
Calendars, Meetings & Events
  • Manage and coordinate lobbyist and conference room calendars, including client meetings, elected official engagements, legislative activities, committee weeks, and session scheduling.
  • Support in-office meetings, receptions, and client meals — including catering coordination, room setup, digital displays, and breakdown.
  • Coordinate off-site venues, transportation, and logistics for meetings, client events, and legislative activities.
  • Monitor and track relevant local and statewide events, conferences, and summits for lobbyist awareness and scheduling.
  • Lead or support special projects, including legislative session support and office-wide initiatives.
Financial & Billing Support
  • Act as liaison between Finance and lobbyists for billing, reimbursements, and expense processing.
  • Review, process, and reconcile credit card allocations; submit check requests, track invoices, and maintain supporting documentation consistent with firm policies.
  • Actively support Finance and lobbyists in collecting outstanding accounts receivable and ensuring timely payment processing.

Qualifications
  • Bachelor’s degree required; combination of relevant experience and certifications considered.
  • 5+ years of progressive operational or business support experience, preferably in government affairs, consulting, or professional services.
  • Proficiency in Microsoft Office; experience with Expensify, Salesforce, Canva, or similar platforms preferred.
Compensation & Benefits [Salary Range $67,000 – $80,000]

Work authorization

Work Week
This position is a full-time, in-person position. Employees are expected to work a minimum of 40 hours during normal business hours; however, a specific schedule will be determined by your supervisor. Normal business hours are 8:30 am to 5:30 pm.
