POSITION TITLE: Grant Coordinator

DEPARTMENT: Resource Development

REPORTS TO: Grant Writer

SALARY/FLSA STATUS: Exempt, Full Time

ORGANIZATION MISSION:

The mission of Boys & Girls Clubs of Greater Tampa Bay is to provide high-quality, out-of-school Club experiences to ensure our young people, especially those who need us most, are on track to graduate from high school with a plan for their future, demonstrate good character & citizenship, and live a healthy lifestyle.

POSITION SUMMARY:

The Grant Coordinator position requires a detail-oriented, self-motivated person who is flexible, well-organized, and able to communicate effectively. Under the direction of the Grant Writer, the Grant Coordinator will oversee multiple grant data needs to include pulling data, uploading into 3rd party software systems, and reviewing files for accuracy. This position may have the flexibility of remote work upon supervisors’ permission.

JOB RESPONSIBILITIES:

  • Track and compile programmatic and financial data to fulfill grant reporting requirements for private, corporate and foundation grants.
  • Collaborate cross-functionally with program, finance, and development teams to gather accurate metrics, success stories, and outcomes for timely and compelling reports.
  • Maintain an internal grants calendar, ensuring key deadlines for reporting, renewals, and documentation are met.
  • Support the Grant Writer by collecting and organizing data, documents, and attachments necessary for submitting grant proposals and letters of intent.
  • Monitor grant performance metrics to ensure alignment with proposal goals and funder expectations.
  • Assist with maintaining accurate grant records in CRM and shared databases, including grant agreements, reports, and communications.
  • Contribute to the creation of funder-ready materials such as visual data summaries, impact highlights, and narrative updates.
  • Participate in team meetings and funder strategy sessions to support strong relationship management and reporting alignment.

REQUIRED KNOWLEDGE/SKILLS:

  • Successful candidates must possess strong analytical and organizational skills.
  • Bachelor’s degree preferred. Non-profit experience is a plus.
  • Knowledge of grant processes including accounting and financial reporting. Required proficiency in the use of financial management software to include spreadsheets and databases. 
  • Ability to interpret complex grant funding requirements, submissions, and budget projections; ability to interpret federal, state, and local government laws and regulations regarding grant administration; ability to review the work of others to ensure conformance to standards; ability to communicate effectively with internal and external customers.

TRAVEL:

Travel will be required to multiple Club facilities throughout Hillsborough, Pasco and Pinellas County for supervisory training and/or other business purposes.
