We are seeking a professional and detail-oriented Site Supervisor to support daily operations within a busy legal office environment in downtown Jacksonville. This position supports a prestigious law firm and is ideal for candidates with legal industry experience, strong leadership abilities, and exceptional customer service skills.

Position Overview
The Site Supervisor oversees the day-to-day operations of a 1–3 person legal office services site while serving as the primary point of contact for end-user support and issue resolution. This individual will work closely with attorneys, paralegals, legal staff, vendors, and management to ensure smooth office operations and high-quality service delivery.

This is a hands-on supervisory role requiring both operational support and leadership responsibilities.

Key Responsibilities
Supervise daily office services operations within a legal office environment
Support copy, print, scanning, mail, shipping, hospitality, reception backup, conference room setup, and inventory functions
Handle confidential and time-sensitive legal documents with accuracy and urgency
Assist with court filings, legal document processing, depositions, transcripts, closing binders, discovery, and related legal workflows
Coordinate courthouse document deliveries as needed
Provide employee guidance, workflow training, and operational support
Monitor productivity, deadlines, quality standards, and shift profitability
Ensure accurate payroll/timekeeping and assist with monthly reporting
Maintain strong professional relationships with attorneys, partners, legal staff, and vendors
Support implementation of service excellence standards and process improvements

Qualifications
High school diploma or GED required
Minimum 2+ years of related office services or administrative experience
Legal industry experience strongly preferred
Familiarity with legal workflows, court systems, and legal documentation preferred
Experience using Microsoft Office Suite, Adobe PDF, and legal software systems
Strong organizational, multitasking, and communication skills
Ability to work independently in a fast-paced professional environment
Prior leadership or supervisory experience is a plus

Preferred Experience
Knowledge of legal departments including civil, criminal, corporate, real estate, bankruptcy, or intellectual property law
Experience with legal document management and chargeback systems such as Equitrac or Copitrak
Experience training employees on workflow or equipment operations
Experience operating high-volume production or copy equipment

Physical Requirements
Ability to lift up to 50 lbs occasionally
Frequent walking, standing, bending, and carrying documents or office materials
Ability to work in a fast-paced office environment with deadlines and changing priorities
