Bookkeeper - Union Fire Department (Multi-Entity Nonprofit)
Compensation: $30–$31/hour Summary:
Our client, a mission-driven fire department, is seeking a sharp, detail-oriented Bookkeeping and Executive Assistant to manage financial operations and compliance across a complex network of nonprofit, for-profit, and political entities. Accounting & Financial Management
- Handle full-charge bookkeeping for multiple affiliated entities using QuickBooks.
- Manage AP/AR, reconcile accounts, and oversee intercompany transactions.
- Prepare monthly, quarterly, and annual financial reports.
- Track and analyze budgets, supporting leaders with real-time financial insights.
- Assist with audits and prepare required filings, including:
- Form 990s for nonprofits
- Form 1120/1120-POL for for-profit and PAC entities
- Maintain compliance with IRS, state, and campaign finance regulations.
- Track grants, donor funds, and ensure proper reporting for charitable initiatives.
- Collect and verify timesheets; process payroll and benefits.
- Maintain employee records and resolve discrepancies.
- Support compliance with labor regulations, benefits administration, and union agreements.
- Oversee daily operations of the department’s on-site retail store.
- Manage inventory and sales through Square POS and Online Store platforms.
- Reconcile sales, track performance metrics, and coordinate restocking.
- Log PAC contributions and disbursements; file required political reports.
- Support compliance and logistics for fundraising and political events.
- Assist with financial tracking for charitable and wellness programs.
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- 3–5 years of accounting experience, in a nonprofit/multi-entity environment
- Strong proficiency in QuickBooks, Excel, and payroll platforms (e.g., ADP)
- Must be registered with the IRS and hold a valid Preparer Tax Identification Number (PTIN) for tax filing purposes
- Familiarity with fund accounting, PAC reporting, and union financial structures
- $30–$31/hour, based on experience
