Job Title: Secretary

Job Summary:

The Secretary provides essential administrative and clerical support to service technicians ensuring smooth and efficient day-to-day operations. This role serves as a central point of communication, manages schedules and supports both internal and external communications.

Key Responsibilities:

Communication & Correspondence

• Draft, format, and send professional correspondence, including emails, letters, and memos.

• Manage incoming and outgoing mail and communications.

• Answer, screen, and direct phone calls to the appropriate individuals.

• Schedule and coordinate service call appointments and meetings.

• Maintain and manage calendars for staff.

Administrative & Organizational Tasks

• Order, stock, and manage office supplies and equipment.

• Supervise, mentor, and provide training to junior administrative staff as needed.

Other Duties

• Welcome and assist customers to office, ensuring a positive first impression of the organization.

• Dispatch service calls to technicians

• Maintain and update databases such as contact lists and client records.

Qualifications:

• Proven experience as a secretary, administrative assistant, or similar role.

• Professional customer service experience required, with a demonstrated ability to interact effectively and courteously with clients, visitors, and colleagues.

• Proficiency in MS Office (Word, Excel, Outlook), and QuickBooks.

• Excellent written and verbal communication skills. * English AND Spanish Fluently*

• Strong organizational and time-management abilities.

• Attention to detail and problem-solving skills.

• Ability to handle confidential information with discretion.

• High school diploma or equivalent
