Agency Administrative Assistant

Florida Family Insurance is seeking an Agency & Administration Assistant to join our team in Jacksonville, Florida. This position is hybrid.
Job Summary:
The Agency & Administration Assistant role serves as support for the agency services functions of the Sales and Marketing department while also supporting the administrative and human resources needs of Florida Family Insurance. Primary responsibilities will include agency administration, reporting, and support of employee onboarding and corporate communication activities. Candidates must be extremely organized, proactive, and detail-oriented.
Basic Responsibilities:
- Support all agency administration and licensing compliance activities
- Serve as primary point-person for incoming agency service inquiries via the email inbox and phone
- Process and document all required materials related to agency appointments, terminations, mergers and acquisitions while ensuring alignment with company's strategic goals
- Support employee outreach activities and corporate culture activation including creation of onboarding kits, birthday and anniversary emails, special events, etc.
- Maintains office supply inventory and coordinates ordering with Human Resources Manager
- Maintains key departmental files and documents
- Process invoices, reconcile marketing budget, and assist with various administrative responsibilities
- Assist with meeting planning, agenda preparation, and meal coordination
- Strong writing, proofreading, and communication skills
- Well-defined time management, organization and planning skills
- Articulate and professional with strong listening and phone skills
- A positive, collaborative attitude and strong interpersonal skills
- Proficiency in Microsoft Office suite
- Special projects and other duties as assigned
Education/Experience/Licensing Requirements:
- Minimum 2 years related experience.
- Bachelor's degree preferred.
- Proficiency with Microsoft Office products (Outlook, Word, Excel, PowerPoint)
