The Role

We are seeking a detail-oriented Purchasing Coordinator to manage the full procurement lifecycle for our busy construction and logistics hub. This is a high-volume desk requiring a candidate who is comfortable processing up to 50 Purchase Orders daily while maintaining 100% accuracy. Core Responsibilities

• High-Volume PO Administration: Generate and track up to 50 Purchase Orders daily within the Sage ecosystem. You will ensure that every order is correctly coded to specific projects and cost categories to prevent delays in field operations.

• Three-Way Matching & Auditing: Rigorously perform three-way matching by reconciling POs against Packing Slips and Invoices. You will serve as the primary safeguard for our cash flow, identifying and resolving discrepancies to ensure we never overpay.

• Strategic Sourcing & Negotiation: Lead the end-to-end purchasing lifecycle. You will source quality materials, negotiate competitive pricing, and secure favorable terms with vendors to maximize project profitability.

• Cross-Functional Liaison: Act as the central point of contact between Estimating, Project Management, and Accounting. You will align procurement activities with strict budgets and tight project deadlines.

• Vendor Management: Proactively manage supplier relationships, addressing backorders, lead-time delays, and quality issues to ensure zero downtime for our project teams.

Requirements

• Software: Proven proficiency in the Sage ecosystem is required.

• Experience: Minimum 3+ years in purchasing, preferably in construction or manufacturing.

• Skills: Expert-level knowledge of the three-way matching process and industrial sourcing.

• Traits: Exceptional organizational skills and the ability to handle high-pressure deadlines.

Responsibilities

Key Responsibilities

• PO Management: Execute up to 50 Purchase Orders daily within Sage. Ensure 100% accuracy in project coding, quantities, and delivery dates to keep high-speed project timelines on track.

• Three-Way Matching: Rigorously reconcile POs vs. Packing Slips vs. Invoices . Identify and resolve any price or quantity discrepancies immediately to prevent overpayment and ensure audit-ready files.

• Strategic Sourcing: Lead the end-to-end lifecycle, including sourcing materials and negotiating competitive pricing. Focus on maximizing project profitability without sacrificing material quality.

• Vendor Relations: Act as the main contact for suppliers. Negotiate favorable terms, manage lead-time expectations, and resolve delivery issues to mitigate supply chain risks.

• Team Collaboration: Bridge the gap between Accounting, Estimating, and Project Management . Align all material procurement with strict project budgets and field deadlines to avoid downtime.

• Compliance: Maintain meticulous digital records and documentation for all transactions, managing the lifecycle from initial quote to final payment approval.
