Administrative Assistant to Operations Manager
We are seeking a dynamic individual for the role of Administrative Assistant to the Operations Manager, who will contribute to our team's growth. As the Administrative Assistant to the Operations Manager at our Vacation Rental Company, you will play a pivotal role in ensuring the smooth functioning of the company and supporting Operations with administrative responsibilities.
Key Responsibilities:
- Manage the Operations Manager schedule by scheduling and organizing appointments, meetings and conferences.
- Keep the Operations Manager informed of upcoming events and any schedule changes.
- Handle incoming calls, emails, and other forms of communications directed to the Operations Manager.
- Respond to routine inquiries and prioritize messages for the Operations Manager's attention.
- Assist the Operations Manager in various special projects and initiatives, collaborating with other team members to ensure successful project completion.
Qualifications:
- High school diploma or equivalent is required. Additional certification or training in office administration or related business fields is a plus.
- Prior experience as an administrative assistant or in a related role is preferred, particularly in a property management company or hospitality.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Familiarity with property management software is advantageous.
- Strong written and verbal communication skills are essential, along with excellent interpersonal abilities and the ability to engage with individuals at all levels.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Ability to handle sensitive and confidential information with discretion and integrity.
- Capability to work in a fast-paced environment, adapt to changing priorities, and maintain composure under pressure.
- Must be able to work weekends.
