Executive Operations Coordinator (Office of the CEO)

OVERVIEW

We are seeking a highly organized, proactive operator to support executive leadership in a fast-paced aerospace manufacturing environment.

This role sits at the center of daily operations, owning executive time management, coordinating priorities across teams, and ensuring critical initiatives move forward. You will work closely with leadership on both business and personal matters, acting as a trusted partner who keeps things running smoothly behind the scenes.

This is a high-visibility role with direct exposure to leadership and company operations, ideal for someone who thrives in a fast-paced environment and wants to grow into operations, project management, or a Chief of Staff–type path over time.

WHAT YOU'LL DO

Executive Operations & Coordination

Own and manage executive calendars across competing priorities, ensuring time is aligned to highest-impact work

Coordinate internal and external meetings, including agendas, materials, and follow-ups to drive execution

Act as a gatekeeper for communications: prioritizing emails, requests, and inbound needs

Track key initiatives, action items, and deadlines across teams to ensure follow-through

Support preparation of reports, presentations, and materials tied to business operations, manufacturing, and aerospace-related initiatives

Assist in coordinating logistics for company activities, projects, and leadership initiatives

Leverage tools (including AI-based tools) to improve efficiency across scheduling, communication, and workflows

Personal & Executive Support

Coordinate personal scheduling, appointments, and reservations

Assist with household/vendor coordination and service-related needs

Handle ad hoc requests and errands with discretion, speed, and attention to detail

Administrative & Operational Support

Maintain organized systems for documents, files, and key information

Assist with preparation and processing of operational, administrative, and compliance-related documentation

Serve as a reliable point of contact for internal and external stakeholders

Take ownership of miscellaneous tasks and problem-solve as needs arise

WHAT WE'RE LOOKING FOR

Experience in an Executive Assistant, Personal Assistant, or similar coordination role

Strong organizational skills with the ability to manage multiple priorities simultaneously

Clear, professional communication skills (written and verbal)

High level of discretion, judgment, and reliability

Ability to anticipate needs and solve problems independently

Comfort working in a fast-paced, dynamic environment with shifting priorities

Proficiency with Microsoft Office (Outlook, Teams, Excel)

Experience using AI tools in a professional setting is a plus

Background supporting leaders in manufacturing, engineering, or technical environments is a plus

Full-time, on-site role in Jacksonville, FL

Fast-paced aerospace manufacturing environment

Requires flexibility and occasional communication outside standard business hours

COMPENSATION

$50,000 – $60,000, depending on experience
