Job Description:

Manage and coordinate the inspection, testing, maintenance, repair, modification, and limited installation of fire alarm systems, fire sprinkler systems, fire pumps, standpipe systems, special hazard suppression systems, emergency communications systems, and other fire and life safety infrastructure. Plan, schedule, and prioritize work based on life safety risk, regulatory requirements, system condition, and operational needs. Review inspection and testing results, recurring deficiencies, system trends, and asset condition to identify risks, implement corrective actions, and support long-range maintenance and renewal planning. Ensure required inspections, maintenance activities, repairs, and corrective actions are completed, documented, and tracked to resolution in compliance with applicable codes, standards, manufacturer requirements, and University policies. Develop and maintain standard operating procedures for system testing, impairments, shutdowns, restoration, emergency response, documentation, and regulatory compliance activities. Supervise and coordinate contracted fire protection work, including developing and reviewing scopes of work, evaluating estimates, coordinating access and system outages, monitoring schedules, inspecting completed work, reviewing testing and closeout documentation, and verifying invoices. Develop, estimate, and manage repair, renewal, modernization, and deferred maintenance projects, and serve as the department representative during planning, design reviews, construction, commissioning, acceptance testing, and turnover activities associated with new construction and renovation projects affecting fire and life safety systems.

Provide leadership, supervision, technical guidance, and daily direction to Life Safety Shop employees. Assign work, monitor progress, inspect completed assignments, and ensure work is performed safely, efficiently, and in accordance with established procedures, University standards, and applicable codes. Establish performance expectations and monitor productivity, quality, compliance, and customer service outcomes. Coach employees, provide performance feedback, address performance or attendance concerns, complete evaluations, support employee development, and promote consistent work practices across the fire alarm and sprinkler groups. Participate in interviews and selection of new employees and help identify staffing and training needs.

Administer the Fire Protection Shop's use of AssetWorks AIM and Kronos. Ensure work orders are properly created, assigned, prioritized, documented, and closed in AssetWorks AIM; labor, material, and contractor costs are accurately recorded; preventive maintenance schedules are maintained; and fire protection asset records and equipment history are kept current. Use AIM reports and operational data to monitor backlog, preventive maintenance completion, inspection compliance, response times, recurring failures, and deferred maintenance needs to support budgeting and program planning. Utilize Kronos to manage employee work schedules, review and approve daily time worked, overtime, vacation, sick leave, and other leave requests, ensuring accurate timekeeping in accordance with University policies and payroll deadlines.

Establish and manage the shop’s operating, equipment, material, and service budgets and ensure accountability for University resources. Initiate purchases of parts, supplies, tools, equipment, and contracted services in accordance with established purchasing procedures. Maintain appropriate inventories of critical fire alarm and sprinkler parts and ensure shop tools, test equipment, vehicles, and assigned equipment are properly maintained, calibrated when required, safely used, and replaced as needed.

Ensure Life Safety Shop employees receive appropriate technical, safety, and regulatory training in fire alarm and sprinkler maintenance, inspection and testing requirements, documentation standards, emergency response procedures, and applicable codes and regulations. Coordinate planned and unplanned system impairments, required notifications, temporary safeguards, fire-watch activities, and system restoration. Serve as the primary shop liaison with UF Environmental Health & Safety, the State Fire Marshal, and other Authorities Having Jurisdiction (AHJs) regarding inspections, compliance activities, deficiencies, corrective actions, and system impairments. Provide or coordinate response to critical system failures, leaks, outages, and other emergencies, including after-hours response and on-call support as required.

Ensure compliance with applicable NFPA standards, Florida Fire Prevention Code, manufacturer requirements, University policies, and other governing regulations. Coordinate and support inspections, audits, testing reviews, and compliance initiatives conducted by UF Environmental Health & Safety, the State Fire Marshal, insurance representatives, and other AHJs. Monitor regulatory changes, assess program impacts, and ensure identified deficiencies and corrective actions are completed and documented in a timely manner.

Employee must obtain a Class E Operator’s License within 60 days of employment and maintain an acceptable driving record.

THIS POSITION REQUIRES A CRIMINAL BACKGROUND AND POST OFFER HEALTH ASSESSMENT

NORMAL WORK SCHEDULE:

6:45 a.m. - 3:45 p.m., Monday through Friday. Schedule may vary due to projects, system testing, emergencies, special events, or job responsibilities as required.

Expected Salary:

$65,000.00 to $70,000.00 Annually based on experience.

Required Qualifications:

Completion of an approved apprenticeship program in a recognized trade and relevant experience to total five years; or a high school diploma or equivalent and five years of relevant experience. Appropriate vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred:Experience supervising fire alarm, fire sprinkler, or combined fire protection maintenance operations in a large institutional, healthcare, research, higher-education, or similarly complex environment. Working knowledge of applicable NFPA standards, inspection and testing practices, system impairment procedures, contractor oversight, and maintenance documentation. Experience using AssetWorks AIM or a similar computerized maintenance and asset-management system. Relevant fire alarm, sprinkler, electrical, plumbing, inspection, or fire protection training or certification is preferred but not required. Proficient computer skills, including Microsoft Word, Excel, Outlook, and related business applications.
