Summary:
The AP Senior Integrations Coordinator is responsible for managing the successful transition and setup of vendor accounts during integrations and ongoing operations. This role plays a critical part in ensuring vendors are accurately onboarded, properly classified, and compliant with tax and payment requirements. This Accounts Payable Coordinator will also be responsible for the processing of invoices and credit card expenses in a fast-growing environment.
This position requires a highly organized, detail-oriented professional who can manage multiple workstreams, maintain accurate records, and proactively follow up on outstanding items. The ideal candidate stays on top of all tasks, ensures deadlines are met, and partners closely with accounting, partners, operations, and external vendors to ensure smooth and compliant accounts payable processes.

What You’ll Do:
Vendor Transitions & Integrations
- Manage the transition of vendor accounts from legacy entities (Oldco) to new entities (Newco), including billing details, account information, and payment setup.
- Coordinate with vendors and internal partners to obtain required documentation and ensure a complete and accurate transition.
- Handle complex, multi-site vendor transitions that often require multiple touchpoints and follow-ups.
- Track AP deliverables for newly affiliated locations and support onboarding activities.
- Integrate payable operations of newly affiliated locations and ensure alignment with Company policies and procedures.
- Maintain strong organization and tracking to manage multiple concurrent transitions.
Accounts Payable Operations
- Process invoices and ensure accurate coding by location and general ledger account.
- Secure appropriate documentation, payment approvals, and coding for all invoices and payments.
- Ensure compliance with established approval hierarchies.
- Convert physical mail into electronic documents through scanning, sorting, and data entry of supplier invoices.
- Reconcile vendor statements and resolve discrepancies.
Compliance & Vendor Management
- Maintain the vendor master file, including W-9 collection and tax status.
- Ensure adherence to departmental policies and procedures.
- Review employee expense reimbursements and corporate credit card transactions for policy compliance and proper coding.
Communication & Support
- Communicate with vendors, internal customers, and location personnel to respond to inquiries and escalations in a timely and professional manner.
Education and Work experience:
- An associate degree in accounting or a related field.
- 3+ years of accounts payable experience.
- Proficiency with Microsoft Office Suite and accounting software.
- Experience in a multi-entity environment.
Skills and Knowledge:
- Strong communication and interpersonal skills.
- Willingness to be flexible, agile, and adaptable, adjusting quickly to changing priorities.
- Detail-oriented.
- Ability to effectively manage multiple projects, deadlines, and priorities.
- Strong computer and business solution software skills, including:
- Microsoft Office (Excel, Word, PP)

Preferred Qualifications:
- Prior role within a multi-entity environment.
- Experience with mergers and acquisitions.
- AP Automation experience preferred (i.e., P2P and expense systems).
- Experience with NetSuite and Ramp is a plus.
