Ascension Global Staffing & Executive Search is seeking a versatile, proactive, and service-oriented Office Services Coordinator to support the day-to-day operations of a fast-paced professional office environment. This individual will play a key role in ensuring the office runs smoothly while delivering exceptional service to attorneys, staff, clients, and visitors.
The ideal candidate is polished, organized, detail-oriented, and thrives in a collaborative environment where professionalism and client service are top priorities.
Key Responsibilities
Front Desk & Client Services
- Greet clients, visitors, and vendors in a professional and welcoming manner
- Answer, screen, and direct incoming phone calls efficiently
- Assist guests with locating attorneys and staff members
- Maintain a polished and professional reception area at all times
Office Operations & Administrative Support
- Coordinate incoming and outgoing mail, packages, faxes, and deliveries
- Order, monitor, and replenish office and kitchen supplies
- Assist with copying, scanning, printing, filing, and general administrative support
- Schedule conference rooms and prepare meeting spaces for internal and client meetings
- Arrange refreshments and catering for meetings and events as needed
Facilities & Equipment Coordination
- Assist with maintenance and repair requests for office equipment and facilities
- Coordinate with vendors and building management when necessary
- Support office organization and operational efficiency initiatives
Technology & Meeting Support
- Provide basic Audio/Visual support for conference room meetings and presentations
- Assist with setting up video conferences and presentation equipment
Additional Administrative Duties
- Assist with travel arrangements and appointment scheduling as needed
- Support attorneys and administrative staff with special projects and day-to-day office needs
- Maintain professionalism, confidentiality, and strong attention to detail in all interactions
Qualifications
- High school diploma or GED required
- Prior experience in office services, reception, hospitality, or legal administration preferred
- Law firm or professional services experience is a plus
- Familiarity with legal terminology, filing systems, and legal documents preferred
- Basic knowledge of Audio/Visual technology and conference room systems
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite and office equipment, including printers, scanners, and copiers
- Excellent organizational and multitasking abilities
- Professional demeanor with exceptional interpersonal skills
