Customer Service Coordinator

Responsibilities and Expectations:
Support service operations with billing, invoicing, data entry, incoming call and parts as needed.
- Receive incoming service calls from customers. Process, record, and coordinate service call appointments with technicians and customers
- In conjunction with the Service Coordinator, evaluate all parts required on service orders.
- Determine make, year, and type of parts needed, and advise the Service Manager of availability according to description
- Track the progression of orders, including parts orders, with vendors.
- Reconcile parts received versus parts ordered
- Data entry of technicians’ job service write-ups and time sheets
- Review and invoice service orders forthe branch
- Follow up on customer inquiries regarding order status
- Document all correspondence as required
- Set up and maintain a document management system
- Bill service orders as needed
- Perform all other administrative and customer service functions as needed
Qualifications and Competencies:
- High school diploma or general education degree (GED) and two years or more related experience and/or training; or equivalent combination of education and experience
- Intermediate to advanced experience working with Microsoft Office products.
- Good verbal and written communication skills
- Bilingual - English, Spanish preferred
- Able to work in a fast-paced, service-oriented environment
- Requires excellent interpersonal and customer service skills
- Experience with time entry and billing maintenance service orders
- Prior experience working in the power generation industry or an industrial environment is desired
