Customer Service Coordinator

Responsibilities and Expectations:

Support service operations with billing, invoicing, data entry, incoming call and parts as needed.

• Receive incoming service calls from customers. Process, record, and coordinate service call appointments with technicians and customers
• In conjunction with the Service Coordinator, evaluate all parts required on service orders.
• Determine make, year, and type of parts needed, and advise the Service Manager of availability according to description
• Track the progression of orders, including parts orders, with vendors.
• Reconcile parts received versus parts ordered
• Data entry of technicians’ job service write-ups and time sheets
• Review and invoice service orders forthe branch
• Follow up on customer inquiries regarding order status
• Document all correspondence as required
• Set up and maintain a document management system
• Bill service orders as needed
• Perform all other administrative and customer service functions as needed

Qualifications and Competencies:

• High school diploma or general education degree (GED) and two years or more related experience and/or training; or equivalent combination of education and experience
• Intermediate to advanced experience working with Microsoft Office products.
• Good verbal and written communication skills
• Bilingual - English, Spanish preferred
• Able to work in a fast-paced, service-oriented environment
• Requires excellent interpersonal and customer service skills
• Experience with time entry and billing maintenance service orders
• Prior experience working in the power generation industry or an industrial environment is desired
